The following application letter template lists the information you must include in the letter you submit with your resume when applying for a job. Use this application template as a guideline to create customized letters to send to employers with your resume.

Application Letter Template

Contact Information The first section of your letter should include information on how the employer can contact you. If you have contact information for the employer, include that. Otherwise, just list your information.

Salutation Here is information on appropriate salutations for a cover letter.

It is the most common salutation:

Dear Mr./Ms. Last Name or Dear Hiring Manager:

Application Letter Content Your application letter will the employer know what position you are applying for, why the employer should select you for an interview, and how you will follow up.

First Paragraph: The first paragraph of your job application letter should include information on why you are writing.

Mention the job you are applying for and where you found the position. If you have a contact at the company, mention the person’s name and your connection here.

Middle Paragraphs:  The next section of your cover letter should describe what you have to offer the company. Make strong connections between your abilities and the requirements listed in the job posting. Mention specifically how your skills and experience match the job. Expand on the information in your resume, don’t just repeat it. Try to support each statement you make with a piece of evidence. Use several shorter paragraphs or bullets rather than one large block of text, which can be difficult to read and absorb quickly.

Final Paragraph:  Conclude your application letter by thanking the employer for considering you for the position. Include information on how you will follow up. State that you will do so and indicate when (one week’s time is typical). You may want to reduce the time between sending out your resume and following up if you fax or email it.

Modifications If You’re Emailing an Application Letter

If you are emailing an application letter, instead of sending a hard copy, you will need to make a few minor tweaks to the template above.

First, make sure to include an email subject line that is direct and informative. Typically, the subject includes your name and the job title you are applying for. For example Sherry Chao — Marketing Associate

Skip including your personal information (address, contact information), the date, and the employer’s contact information. Begin your email with the salutation. The body of the email — why you’re writing, what you have to offer the company, and how you will follow up — will be precisely the same as in the template above.

Writing an application letter can be tricky.

Two different people can write an application letter. One person gets the job, while unfortunately the other person does not get it.

Why is that?

Well, one of the reasons is that what constitute a good application letter is different from what a generic application letter is.

So today, I am going to teach you how to write an application letter that can get you your desired job.

Secondly, your application letter can land you a job interview so it is important that you learn how to write a good application letter.

And guess what the good news is?

What is An Application Letter?

As the name implies, an application letter is a letter you write when applying for a job.

This is the definition of an application letter, in its simplest form. It is formal letters you address to the recruiter letting them know you are interested and qualified for the job role.

The application letter is the first contact the recruiter has with you besides your CV and, in fact, they might see the application letter first because some recruiters require that it be sent as the body of the mail.

Even if it wasn’t sent as the body of the mail, the recruiter might be inclined to open it first to see if there is a need to even proceed to open your CV.

The implication of this is that you have to make sure that your application letter creates a good first impression, enough to make the recruiter want to establish further contact with you. Considering that the letter is not usually lengthy, you have to master the skill of including all that is necessary with.

What Should an Application Letter Contain?

As stated above, you do not have the luxury of space to write too much, so the little space you have, make sure the following features appear;

  • Sender’s Address : Your name and contact info at the top right hand of the page. In the following order, write your name, address, phone number, email address and the current date. Write like you do an address of a formal letter. If you are sending the letter as the body of the mail, write your details at the end of the mail, after the signature.
  • Recipient Address : Then in the next line on the left hand of the page, write the recipient’s name and address, in the same order as yours except that of the recipient will only carry name and address (office address).
  • Salutation : On the line, you address the recipient using the name and proper and title. For instance, “Dear Mr Kensington” is a good idea. Avoid addressing the letter as “To Whom It May Concern”, it gives the recruiter the impression that you have not taken the time to research the company or that you are simply sending random applications. Employers want to feel wanted as well. If you are, however, still uncertain who to address it to, then use “Dear Hiring Manager” instead. 
  • Body of the Letter : There is no generally acceptable number of paragraphs per se of a standard application letter. One thing that is generally accepted is that the letter is not lengthy; anything more than a page is too much. You don’t want to bore the recruiter will unnecessary details. Your CV should carry more of those details that your application letter will highlight. Start by saying the job you are applying for, where you saw the vacancy and how excited you are to apply. Then in the next paragraph, state why you think you are qualified based on the qualifications and experience you have. State only the most relevant ones and don’t exactly go into details. Make sure everything you state is relevant to the job and how it will help you carry out your duties to bring out expected results. Close on a positive note, mentioning you are expecting a favourable response and with a thank you.
  • Signature : Sign out with “Sincerely” or “Best regards” or “Yours faithfully”. Sign and write your name in full. Remember, if you are sending as the body of the mail, your details will follow the signature.

Step by Step Guide to Writing An Application Letter That Lands You Job Interviews?

  • The first thing to remember is that it is a formal letter and not informal. So you go straight to the point without going into pleasantries. You should not ask after the welfare of the recruiter or that of the family. Go straight to the point of the letter.
  • Make your letter engaging. The truth is that most recruiters go through a lot of letters every day and so it is important to keep them hooked from the beginning.
  • Give them a picture of yourself, as it relates to the job,  that is not in your CV.
  • An application should not exceed a page. Anything more than a page is lengthy, keep it simple, you are not writing a thesis or writing a letter to your best friend.
  • Make sure to use legible font size and type.

Writing an application letter is not hard if you understand what a good application letter should contain.

We have written a lot of content on how to write an application letter for job search. However, we thought that “how to write an application letter for an internship” may prove invaluable to tertiary students who constitute a good percentage of our blog readership.

An application letter for an internship is not the same as your regular application letter for employment. Chances are that if you’re applying for an internship you have no real work experience, which is the reason why you’re applying anyway whereas, a full-time employment letter normally stresses on your specific experiences and qualifications, and how they tie into the job requirements.

The perfect application letter for internship should therefore, focus on the following key points:

  • Your education
  • Your passion
  • What you intend to do, rather than what you have done.

Internship Letter Format

Some companies have requirements for applying for internships which they specify on their website. Others have forms you fill out and submit online. In these instances, there may not be the need to write out an application letter as the forms are an adequate requirement.

However, where no such requirements exist and you’re just sending a speculative internship application or to a generic email address, you must get the letter format right in order to catch the employer’s attention.

  • Briefly introduce yourself and specify where you heard about the internship.
  • Give background information about your program of study.
  • Showcase the skills and qualities that make you a good intern for the job.
  • End by thanking the hiring manager for their time. Specify a contact number which you csan be reached you at their earliest convenience.
  • Remember to sign before your name.

Other Attributes Count

Since you do not have any formal work experience, you can highlight the following to show you will fit in and not waste anybody’s time:

  • General skills that help you work in a team and as part of an organisation.
  • Personal attributes that will help you learn to work in a professional work environment
  • Volunteer experience or school club leadership positions that highlight your strengths
  • Athletic or sports experience (if relevant)
  • Any hobbies or interests that are relevant to the job or demonstrate your professional experience.
  • Any relevant project or research work you’ve done in the course of your studies.

No Experience, No Problem!

When writing an application letter for an internship, be absolutely honest about the fact that you do not have any real world experience. Yet, if you do have practical experience in an area of interest you’re applying for, be sure to highlight it.

For example, if you previously worked as a storekeeper in your Uncle’s minimart, you could include it as relevant experience when applying to intern for an administrative or similar position. If you conducted your undergraduate research in an area the organisation primarily operates, or deeply cares about, that could be a double bang for you.

Mentorship Opportunity

Highlight your willingness to learn on the job. If you are applying through a specific person you want to work under, demonstrate your desire for mentorship under the person’s professional guidance.

Demonstrate Your Interest in the Company

Research about the company, especially the department you want to intern with. Make reference to specific projects or development within the company that you will be interested in working on. You can even cite a reference within the company, with their permission.

Show how you developed an interest in the company. By demonstrating significant knowledge about the company and its activities by referring to specific projects, press releases or historical information, you show the hiring manager that you have a genuine interest in the company, and this is a big plus that will work in your favour.

Keep the following points in mind when writing your application:

  • What can I offer the company?
  • What are they looking for in an intern and how do I match that profile?
  • Why do I want to work for this company?

Include your CV, no matter how scanty in experience it may look. The key thing to highlight in your CV specific leadership positions held, previous internship, awards received, voluntary work carried out, relevant courses currently studying. You may want to look at how to write a CV on this blog.

What are the general entry requirements for admission?

An applicant for admission to a degree programme at the University of Ghana must have at least credits (A1 - C6 in WASSCE and A – D in SSSCE) in English, Core Mathematics and Integrated Science (for Science related programmes) or Social Studies (for non-Science related programmes) and three elective subjects in Science for applicants applying to Science or Agriculture related disciplines or three elective subjects in General Arts/Business for applicants applying to non-Science related disciplines, with the total aggregate not exceeding 30 . In addition, Science applicants should have at least a grade C6 in WASSCE/D in SSSCE in Social Studies/Life Skills and non-Science applicants should also have at least a grade C6 in WASSCE/D IN SSSCE in Integrated Science/Core Science For regular undergraduate admissions, a minimum aggregate of 24 is mandatory.

What are admission cut-off points?

Admission cut-off points refer to the minimum scores or qualifications required for entry into specific programs or courses at the University of Ghana. How do I calculate my WAEC results aggregate:

For Non Science Students

Select the core subjects (English, Mathematics & Social Studies) alongside three of your best electives. NB. a credit pass in Integrated Science is required.

For Science applicants

Select the core subjects (English, Mathematics & Integrated Science) alongside three of your best electives. NB. a credit pass in Social Studies is required.

How can I find out the prescribed WAEC aggregate cut-offs for a specific programme?

Do you use Integrated Science or Social Studies in calculating the aggregate for Science students?

In the calculation of aggregates, Integrated Science will be used for Science programmes and Social Studies for non-science programmes. However, all applicants must have at least credit passes (C6) in both Integrated Science and Social Studies.

Why are there different cut-off points for males and females?

This is due to the affirmative action policy aimed at encouraging more females to enroll in tertiary education.

I will be writing WASSCE in May/June this year. Can I apply?

Yes, you are eligible to apply if you are taking the WASSCE in May/June this year.

Do you admit students with Nov/Dec results?

Yes, we do accept students with Nov/Dec results.

I will be writing NOV/DEC this year. Can I apply?

No, admissions are released before the NOV/DEC results are out. Results that are not released by the closure of the application portal and during the admissions process cannot be used.

Can I apply with multiple sets of results?

Yes, you are allowed to apply with up to three sets of results.

Does the University accept a combination of May/Jun and Nov/Dec Results?

The University of Ghana accepts a maximum of three sittings, including a combination of May/June & Nov/Dec results and a combination of WASSCE & SSCE. Awaiting candidates can indicate their past WASSCE/SSCE results if available.

Will the university select the best grades from my multiple WASSCE sittings?

Yes , the university will select from the subjects which you obtained better grades.

Do I have to enter my WASSCE results when applying?

No, there is no need to enter your WASSCE results. Instead, you are required to enter your Index number, year of exams and month of the WASSCE examination, whether May/June or Nov/Dec.

Can a Home Economics student apply for BSc Dietetics or Biological Sciences?

No, Dietetics is a programme for pure science students and is offered by the School of Biomedical & Allied Health Sciences, College of Health Sciences. The entry requirements are credit passes in three (3) Electives comprising Chemistry, Physics, and either Biology or Elective Mathematics.

Can Home Economics students apply for Nursing or Midwifery?

Yes, they can.

Can Home Economics students apply for Bachelor of Public Health?

What programmes are available for pure Business students?

Business students can apply for the following programmes:

  • B.Sc. Administration
  • Bachelor of Laws (LLB)
  • Bachelor of Arts

Do you favour Business students when admitting them into Business Administration?

No, we do not. The entry requirement into Business Administration is 'Any Three Elective subjects'. The background does not matter if you meet the cutoff point.

Do I have to go through any screening process before I gain admission? Some programmes like the Bachelor of Fine Arts may require attendance at an audition. Additionally, certain programmes in the College of Health Sciences may require applicants to take an entrance examination and/or attend an interview. A list of successful applicants invited for screening will be published on the university website and will also send notifications via SMS.

My aggregate is more than 24, and I have all the required credit passes (C6). Can I apply for a regular programme or as fee-paying? No, any aggregate score higher than 24 will qualify you for the Distance Education programme, which is conducted on weekends at all regional learning centres and follows the same four-year degree programme.

Can Agric Science students apply for the Doctor of Veterinary Medicine programme? No, the requirements for this programme are Biology, Chemistry, and either Physics or Elective Mathematics.

Do you accept Diploma Holders from other tertiary institutions into the undergraduate programme?

No, we only accept Diploma holders from the University of Ghana or as determined by the University. However, we do accept HND holders from recognised Technical Universities into similar fields.

How much is the application fee? The application fee is subject to periodic review. At present, it stands at GH¢220.00 for Ghanaian applicants and US$110.00 for international students and Ghanaians residing abroad.

How do I ensure that my application is complete? Complete the Online Application Form. Ensure that you provide accurate and complete information on the form. Carefully review your application form before submission. Print out your proof of application for records. You can still log in to make changes to your application multiple times, if the need arises. Application process is strictly online.

II. APPLICATION PROCESS

A. How to start the application

Where can I purchase the University of Ghana application e-vouchers? You can purchase the e-voucher from any of the following banks:

  • Agricultural Development Bank
  • Republic Bank
  • Prudential Bank
  • Fidelity Bank
  • Universal Merchant Bank
  • Consolidated Bank Ghana (CBG)
  • Zenith Bank

You can also obtain the e-voucher using the Momo short code * 188* 9# on all networks.

I purchased the UG e-voucher via the USSD code, but my money was deducted, and I did not receive my Serial No and PIN. What should I do? In case you do not receive an SMS after a successful transaction, you can retrieve the e-voucher by following these steps:

  • Dial * 887* 9#.
  • Select "Yes".
  • Choose "Retrieve E-Voucher".
  • The details of the E-Voucher will be displayed, including University of Ghana, Serial Number, and PIN.

B. Creating and filling an online application account

Do I have to mail my application forms to the University after application? Applications are strictly undertaken online.

Can I revisit my application document after completing the online form? If so, until when? Yes, you can revisit your application form as many times as necessary until the publication of the May/June WASSCE results. This allows you to view or make changes.

Can I make changes after I have submitted my application online? Yes, you can make changes. The University application portal will remain open for a few days after the release of the 2023 May/June WASSCE results to allow applicants to review their applications and make the necessary changes. Applicants must ensure their Biographical Data, WAEC Index Number, year and month of the examination are correct.

Can the application forms run out before the deadline? No, the e-voucher is generated from the bank's system and will not be depleted.

What should I do if I have trouble logging in? We recommend attempting to log in after 8 p.m. or late at night when fewer people are trying to access the system, reducing potential congestion.

C. Uploading documents (pictures, results, transcripts, etc.)

What are the specifications required of the passport photograph?

  • Maximum dimensions of 600px by 800px and
  • Minimum dimensions of 100px by 100px and
  • Background of Passport picture should be white
  • You can also use the photo crop tool to assist you in cropping the right dimensions when uploading your passport photo.

I am applying with foreign results aside from WASSCE. Do I have to scan and upload the results? Yes, you should scan and attach your foreign results, providing the necessary details such as the result slip and any relevant documentation.

What other supporting documents is required of Ghanaians with foreign qualification? Yes, Ghanaians with foreign qualifications are to scan and attach the following

  • Results slip of qualification
  • Certificate of qualification
  • Documents to the Ghanaian nationality status

D. Application status tracking

How can I be sure that my application is complete?

  • Review the Application Checklist and make sure all categories (Bio Data, Entry Information, Educational Background, Programme Option and Passport Photo) are ticked green.
  • Application info accuracy confirmation will pop up to confirm all information entered is accurate.
  • After confirmation, submit your application online.
  • You will receive a pop up notification that your application is completed and has been successfully submitted to the University.
  • You may still make changes to your application until the deadline.

I want to select Computer Science as my programme option, but I am not able to select it online? Please select the Bachelor of Science in Mathematical Sciences programme option.

What is the Bachelor of Science Physical Sciences programme? The Bachelor of Science in Physical Sciences programme includes various subjects such as Physics, Chemistry, Geophysics, with specialization options available in the second year.

#Distance Education Undergraduate Admissions

What are the general entry requirements for Distance Education admission? 

An applicant for admission to a degree programme at the University of Ghana must have at least credits (A1 - C6 in WASSCE and A – D in SSSCE) in English, Core Mathematics and Integrated Science (for Science related programmes) or Social Studies (for non-Science related programmes) and three elective subjects in Science for applicants applying to Science or Agriculture related disciplines or three elective subjects in General Arts/Business for applicants applying to non-Science related disciplines, with the total aggregate not exceeding 30.  

In addition, Science applicants should have at least a grade C6 in WASSCE/D in SSSCE in Social Studies/Life Skills and non-Science applicants should also have at least a grade C6 in WASSCE/D IN SSSCE in Integrated Science/Core Science 

For admissions into any of our Diploma programmes, an applicant must have obtained passes D7 in English Language and Core Mathematics, and credit passes C6 in four other subjects.

No, you don't need to travel to Accra. The University operates 12 regional learning centres offering distance education programmes. During your online application, you can select the centre that suits your location.

Is the application process for Distance Education the same as for programmes on the main campus? 

Yes, the application process is the same. You should purchase the same voucher, but when selecting your campus, please choose 'Distance'. 

Admissions 

I want to apply for the Distance Education programme, but I don’t know if I qualify. 

For Programmes offered at the Distance Education level, applicants must have satisfied the universities minimum requirement for DE undergraduate programmes. However, the cut off points for DE programmes are flexible. 

What is the requirement for a Diploma Programme? 

An applicant must have obtained passes Grade D7 in Core English and Mathematics alongside four other credit passes in any of the subject whether core or elective.

B. Diploma to Degree /Top Up Admissions 

What are the general entry requirements for top up applicants into the Distance Education Programmes? 

Applicants in Possession of University of Ghana Diplomas 

Holders of University of Ghana Diplomas or recognised equivalents, with a Final Grade Point Average (FGPA) of 2.5 or better (for Distance Learning programmes) in any of the under-listed programmes, are eligible to apply to the SAME area of study and where required, supported with two other subjects in a related field, for admission. 

 Diploma holders will be admitted to either Level 200 or Level 300 based on their FGPA and area of study.   

 All admission will be to the same subject area as the diploma qualification. 

Higher National Diploma (HND) to Degree Applicants 

Holders of three years Higher National Diplomas (HND) from a recognized Technical University /Polytechnic with a Final Grade of 3.25 or better (for Distance Learning programmes) are eligible to apply to the SAME area of study, and where required, supported with one other subject in a related field, for admission.   

 HND holders will be admitted to the same subject area as their HND qualification.   

I have a two-year Diploma from another institution. Can I use it to apply for a top up to your institution? 

No, the university accepts a three-year Higher National Diploma for a Technical University/Polytechnic. 

I have an HND in Bilingual Secretaryship. What top-up program can I apply to for Distance Education? 

You can apply to the BSc Administration, Public Administration option.

I have a Diploma in Nursing from a recognized training college. Can I apply for a Degree in Nursing (Distance Education Option)? 

No, the university no longer offers the Degree in Nursing through the Distance Education stream. However, you can apply into the regular stream if you choose to do so. 

I have a certificate in Nursing from a recognized training college. Can I apply for a Degree in Nursing? 

No, the university accepts a three-year Nursing/Midwifery Diploma from a recognized Nursing or Midwifery training college. 

DOCUMENTS REQUIRED  

What supporting documents am I required to upload during my application for a top up programme? 

For three year HND Holders, you are required to upload a completed academic transcript showing you final grade point average (FGPA) or CGPA and your certificate of graduation. 

For University of Ghana Diploma Holders, you are required to upload a completed academic transcript showing you final grade point average (FGPA) or CGPA and your certificate of graduation.

What are the general entry requirements for admission? 

Entry requirements: 

Applicants must be at least 25 years old at the time of application and show proof of age with the ECOWAS/National ID Card or any legitimate documentary proof of date of birth which is at least 5 years old. Applicants must register for, attend and complete the University of Ghana Access Course and pass the Mature Students’ Entrance Examination conducted by the University. Applicants who pass the Entrance Examination must purchase an e-voucher from designated banks to access the UG online application form.

How do I register for the Mature Access Course?

Only applicants who are on the pass list may apply to be admitted. You may re-register for the Access Course. 

 Can I apply for any programme after passing the Mature Entrance Examinations? 

No. You can only apply for courses under the Bachelor of Arts programme. 

How do I know if I have been admitted? 

The list of admitted applicants is published on the University website. You may access it with your serial and pin numbers. 

D. Interruption of Studies  

What should I do to defer my programme?  

Log in to your STS account at https://sts.ug.edu.gh/ using your university credentials. Once logged in, click on the Submit Deferment Form. Follow the instructions provided to complete the form.    

Upon approval, your deferment status will be reflected in the STS platform. You can also download your approval letter directly from the portal.    

If you encounter any issues or have questions, do not hesitate to contact the Admissions Office thru [email protected]   the subject should be DEFERMENT COMPLAINT.    

I have been admitted into the University of Ghana but cannot join this academic year. What should I do? 

Write a letter requesting to defer your admission through [email protected]   stating the reasons why and attach copies of receipts for fee payment. 

I was admitted but failed to enroll and did not write to defer. Can I enrol with the same admission letter this year? 

No, you are deemed to have rejected the offer of admission. You may reapply for admission at the next possible advertisement. 

Can I defer my course for two academic years? 

A student may interrupt his/her study programme for two continuous semesters only. However, with the express permission of the Vice-Chancellor, a student may be permitted to interrupt his/her studies by two additional semesters. The student is required to write to the Vice-Chancellor through the Academic Affairs Director before the deferment period is over. 

I left the programme without deferring. How do I continue with my studies? 

You are deemed to have abandoned the programme, so you may re-apply for admission. 

How do I resume academic work after deferment? 

Students are to send their deferment approval and resumption letters to the Academic Affairs Office at least two weeks before beginning of the semester they are to resume academic work. 

E. Payment of Fees 

Can I pay my fees before the start of the semester? 

Yes, students may pay their fees before the start of the semester. 

 Can I pay my fees in instalment? 

Yes, students may pay their fees in instalment, however, you are required to keep all the receipts and produce them when necessary. In addition, payments by instalment should sum up to at least 50% at the time of registration in the first semester and 100% by the second semester. 

 I will not be able to finish paying my fees by the deadline for registration. Is it possible for me to be registered and pay later? 

No. Students are to pay the required fees before being allowed to register. 

 I am unable to pay my fees because my details are unavailable at the bank. What should I do?
