10 PowerPoint Tips for Preparing a Professional Presentation

Use these Microsoft PowerPoint tips to avoid common mistakes, keep your audience engaged, and create a professional presentation.

Professional presentations are all about making an impact. Your slides should look the part. Once you know what makes a presentation look professional, you can customize any half-decent PowerPoint template or create your own custom slides.

Our PowerPoint tips will help you avoid common mistakes, keep your audience engaged, and create a professional presentation, in form and content.

PowerPoint Slide Design

The design can leave a first and lasting impression. Give it a professional touch to win your audience's trust and attention.

1. Carefully Compose Your Slides

Don't copy and paste slides from different sources. You don't want your presentation to look like a rag rug. What you're aiming for is a consistent look. This will help your audience focus on the essential; your speech and the key facts you're highlighting on your slides.

To that end, use a basic template or make your own . PowerPoint comes with a wide selection of professional PowerPoint presentation templates , but you can also find free ones online.

PowerPoint Tip: When you open PowerPoint, note the search field at the top. One of the suggested searches is "presentations". Click it to see all of PowerPoint's default presentation templates. Choose a category on the right to narrow down your search.

Pick an easy to read font face . It's hard to get this right, but these professional-looking Google fonts are a safe bet. Unless you're a designer, stick to a single font face and limit yourself to playing with safe colors and font sizes.

If you're unsure about fonts, refer to "The 10 Commandments of Typography" shown below for orientation.

Carefully select font sizes for headers and text. While you don't want to create a wall of text and lose your audience's attention, you do want them to be able to read what you've highlighted. So make your fonts large enough.

PowerPoint Tip: PowerPoint offers several different slide layouts. When you add a new slide, choose the right layout under Home > New Slide . To switch the layout of an existing slide, use Home > Layout . By using the default layouts, you can make coherent design changes across your presentation anytime you want.

Leave room for highlights, such as images or take home messages. Some elements should stand out. So try not to bury them in background noise but give them the space they need. This could be a single quote or a single image per page with nothing but a simple header and a plain background.

Decorate scarcely but well. If you have good content, you won't need decoration. Your template will be decoratively enough.

Note: Restrict the room your design takes up, and don't ever let the design restrict your message.

2. Use Consistency

Consistently use font face and sizes on all slides. This one goes back to using a template. If you chose a professional presentation template, the designer would have taken care of this aspect. Stick to it!

Match colors. This is where so many presentations fail. You might have chosen a funky template and stuck to the designer's color profile, then you ruin it all with ugly Excel charts .

Take the time to match your visuals to your presentation design.

Text and Background Colors

A poor choice of colors can ruin your presentation.

3. Use Contrast

Black text on a white background will always be the best, but also the most boring choice . You're allowed to use colors! But use them responsibly.

Keep it easy on the eyes and always keep good contrast in mind. If you're color-challenged, use one of the many online tools to select a good looking color palette. Or just use a template and stick to its default colors.

PowerPoint Tip: Use PowerPoint's Design menu to quickly change the font and color palette of your entire presentation using preset design layouts.

4. Apply Brilliance

Carefully use color to highlight your message! Colors are your friends. They can make numbers stand out or your Take Home Message pop.

Don't weaken the color effect by using too many colors in too many instances . The special effect only works if used scarcely. Try to limit pop colors to one per slide.

Make a brilliant choice: match colors for design and good contrast to highlight your message . Use a professional color palette, to find which color will work best with your theme. Use The 10 Commandments of Color Theory shown below to learn more about colors:

Text on PowerPoint Slides

K eep I t S traight and S imple. That means...

  • Keywords only on your slides.
  • Absolutely no full sentences!
  • And never read your slides , talk freely.

Remember that your slides are only there to support, not to replace your talk! You want to tell a story, visualize your data, and demonstrate key points. If you read your slides, you risk losing your audience's respect and attention.

PowerPoint Tip: Afraid you'll lose your train of thoughts? Add notes to your slides. Go to View and under Show click Notes to make them show up under your slides while editing. When starting your presentation, use PowerPoint's presentation mode (go to Slide Show and under Monitors , check Use Presenter View ), so you can glance at your notes when needed.

6. Take Home Message

Always summarize your key point in a Take Home Message. Ask yourself, if your audience learned or remembered one single thing from your presentation, what would you like it to be? That's your Take Home Message.

The Take Home Message is your key message, a summary of your data or story. If you're giving an hour-long presentation, you might have several Take Home Messages. That's OK. Just make sure that what you think is key, really matters to your audience.

Make your Take Home Message memorable. It's your responsibility that your audience takes home something valuable. Help them "get it" by making your Take Home Message stand out, either visually or through how you frame it verbally.

Presentation Visuals

Images are key elements of every presentation. Your audience has ears and eyes, they want to see what you're talking about, and a good visual cue will help them understand your message much better.

7. Add Images

Have more images in your slides than text. Visuals are your friends. They can illustrate your points and support your message.

But do not use images to decorate! That's a poor use of visuals because it's just a distraction.

Images can reinforce or complement your message. So use images to visualize or explain your story.

Use a sufficient image resolution. Your visuals might look good on your desktop, but once blown up by a projector, low-resolution images will make your presentation look anything but professional. So choose a resolution that matches the projector's resolution. If in doubt, don't go below a resolution of 1024 x 768 pixels (XGA) and aim for 1920 x 1080 pixels (FullHD).

Always maintain your image's aspect ratio. Nothing looks more awkward than a distorted image. Whatever you do, don't stretch images. If you have to resize them, do so with the aspect ratio intact, even if that means dropping slightly above or below your target resolution.

PowerPoint Tip: Need a visual, but don't have one at hand? PowerPoint is connected to Bing's library of online images you can use for your presentations. Go to Insert and under Images select Online Images . You can browse by category or search the library. Be sure to set a checkmark for Creative Commons only , so you don't accidentally violate copyrights.

Note: Yes, a picture is worth a thousand words. In other words, if you don't have time for a thousand words, use a picture!

PowerPoint Animations and Media

In animations, there is a fine line between a comic and a professional impression. But animations can be powerful tools to visualize and explain complicated matters. A good animation can not only improve understanding, it can also make the message stick with your audience.

8. Don't Be Silly

Sparingly use animations and media. You should only use them in one of two cases:

  • To draw attention, for example, to your Take Home Message.
  • To clarify a model or emphasize an effect.

Embed the media in your presentation and make sure it works in presentation mode. Testing your presentation at home will save you time and avoid embarrassment.

Target Your Presentation Content

Your target, i.e. your audience, defines the content of your presentation. For example, you cannot teach school kids about the complicated matters of the economy, but you may be able to explain to them what the economy is in the first place and why it is important.

9. Keep Your Audience in Mind

When you compile your PowerPoint presentation, ask yourself these questions:

  • What does my audience know?
  • What do I need to tell them?
  • What do they expect?
  • What will be interesting to them?
  • What can I teach them?
  • What will keep them focused?

Answer these questions and boil your slides down to the very essentials. In your talk, describe the essentials colorfully and use your weapons, i.e. text, images, and animations wisely (see above).

Note: If you fail to hit the target, it won't matter how ingenious your design is or how brilliantly you picked colors and keywords. Nothing matters more than your audience's attention.

10. Practice Your Presentation Like a Professional

A well-practiced and enthusiastic talk will help you convince your audience and keep their attention. Here are some key points that define a good talk:

  • Know your slides inside out.
  • Speak freely.
  • Speak with confidence, loud and clear.
  • Speak at a steady pace, better too slow than too fast.
  • Keep eye contact with your audience.

Bonus: Implement the 10/20/30 Rule

The 10/20/30 rule is a concept brought forward by Guy Kawasaki:

It’s quite simple: a PowerPoint presentation should have ten slides, last no more than twenty minutes, and contain no font smaller than thirty points.

A similar concept is PechaKucha , a storytelling format limited to 20 slides and 20 seconds per slide, i.e. less than seven minutes to conclude the presentation.

Now there's a challenge! Telling your story succinctly, might help you get through to some of the busiest and most distracted people on the planet.

I've shown you how to think through your entire presentation, from choosing a design to speaking to your audience. Here's a mind trick: never try to interpret the looks on your listeners' faces. Chances are, you're wrong. Just assume they're focused and taking notes.

In other words, SlideShare has a lot of potential for content marketers – which means you should definitely give it a spin ASAP.

Construct Content Around Search Terms Your Business Dominates

As with any other SEO campaign, keywords are extremely important are SlideShare. The thing with SlideShare, according to Mark Sherbin on Content Marketing Institute, is that the “website’s search-friendliness is a shortcut to claiming keywords for your brand.” So, before you start creating an awesome SlideShare presentation, you’re going to have to do some research on the relevant keywords in your industry.

Moz has an excellent guide on doing keyword research. In a nutshell, you want to begin your research by asking yourself general questions like:

  • Is the keyword relevant to your presentations content?
  • Will searchers find what they are looking for?
  • Will they be happy with what they find?
  • Will traffic increase?

If yes, then proceed to searching for these words or phrases in the major search engines. You can also use tools like Google AdWords Keyword Planner Tool  and SEO chat for additional keyword research.

After discovering the most relevant keywords in your industry, you’ll want to create quality content that will get users talking on SlideShare. KISSMetrics suggests that these three areas are great places to start:

  • Show something shocking
  • Explain useful information
  • Evoke emotions

Saving Your Filename

Speaking of keywords, Alicia Thomas on Search Engine People  recommends you make “sure the presentation you upload has a keyword-rich filename to help users find your content.” This means when you save your presentation as a PDF you would want to use your keyword(s) as the filename. Also keep in mind that filename will also be the URL.

When using keywords in your filenames , you want to follow best practices, like:

  • Not using hyphens or underscore between filenames
  • Use keywords to describe your product, not the actual product name
  • Only use lowercase letters

Use Proper Titles and Meta Descriptions

As touched upon earlier, SlideShare is SEO friendly. But, and as you’re probably already aware, that includes more than just keywords. SlideShare allows you to also use title tags and meta descriptions. While some may argue that these aren’t that significant, when you optimize titles and meta descriptions on SlideShare, you’re making it easier for customers to discover your content on search engines like Google and Bing.

For an effective SlideShare title, you should simply follow basic SEO guidelines. As Moz notes, this includes keeping the title between 50-60 characters so it will be displayed properly. You’ll also want to include relevant keywords in your title. And, as mentioned on the WooRank Blog , “make sure you have a prominent long-tail keyword in the title of the document, PDF, presentation or video that you upload on SlideShare.”

As for your meta description , be mindful of the fact that SlideShare provides more than enough space for a description. However, that won’t really help your SEO. As with titles, follow SEO guidelines, such as keeping the description under 155 characters. While you’ll want to include keywords, don’t forget to incorporate action-oriented language, a solution or benefit, and make it as specific as possible.

Tags Are Important Internally

SlideShare allows you to use up to 20 tags. While SlideShare tags may not play a major role for search engines, they are important on SlideShare – the site claims that tags can increase searchability by 30% . This means by using the appropriate  tags, you’ll make it easier for people to discover your presentation when they use the internal search function. Of course, tags should be based around your subject matter – which will help you gain exposure on SlideShare’s topic pages.

Tags also count as the text on the page where the presentation is located, which is just another little perk of using tags.

Don’t Forget Keywords in the Transcripts

Rand Fishkin explains,

“SlideShare automatically transcribes the text in your presentation when you upload. This makes it easy for search engines to find you. If you have given a live presentation, and your slidedeck contains mostly images and not enough text to give it context, add your own script transcription. This will help your SEO.“

Since SlideShare transcribes the text included in your presentation (which will posted at the bottom of your presentation), you’ll want to be certain that the presentation is full of keyword rich text. The reason for this is so that search engines can actually “read” what’s included in your presentation.

Make Your Presentations Visually Stunning

Remember, as HubSpot reminds us, SlideShare is a visual platform. This obviously means “that presentations that are well designed and feature poignant, powerful images are going to perform the best.” But, where do you start when designing a quality SlideShare deck?

Social Media Examiner recommends you start with the first slide, since it’s not only your presentation’s cover, it “will appear everywhere—as the thumbnail of any social shares (Facebook, Google+ or Pinterest) or SlideShare search or if you’re lucky, when you’re featured on the SlideShare home page.” You can use a number of free tools, such as Quotery , Chisel, Canva and Haiku Deck to get started.

As a general rule of thumb, your presentations should contain:

  • Strong, bold colors and large text to capture users’ attentions and make the content easy to follow along
  • Topic-specific presentations that cover one particular topic in intensive detail with plenty of data
  • Visuals that play a major role in the presentation, such as charts, graphs, images, and graphics

Keep Slides the Optimal Length

There’s some conflicting information out there on how long your presentation should actually be. Back in 2010 Dan Zarrella found data suggesting that detailed presentations, which were presentations that included 60 or more slides, were the most effective in gaining views. More recently SumAll (via Buffer ) created an infographic that backed this statement up. According to data, the ideal number minute for a SlideShare presentation is 6 minutes. It’s been speculated that because professionals use SlideShare they’re “likely seeking data-focused, meaty presentations with a lot of depth.”

However, other experts have suggested you keep your presentations short. Neil Patel argues that if people “think it’s going to take them too long to view, they’ll avoid it completely.” That’s why in 2013 the average length of a presentation was 14.4 slides. Kristina Allen also supports shorter presentations on Convince and Convert by recommending you use between 8-15 slides.

You could also follow Guy Kawasaki’s 10/20/30 Rule of PowerPoint . This would equal:

  • 30 point font

So, how long should your presentation be?

David Brier, an award-winning brand specialist consulting small-to-medium sized companies, stated on Forbes that, When in doubt, trim the fat. Brier also noted that “45% of the presentations on SlideShare have 10-30 slides with an average of 24 words per slide.”

It seems like all of the advice above is effective. However, you may want to create decks of various lengths and test out which ones were viewed more by your audience.

Include Links

If you want people to share the content that you’ve created for SlideShare, then make sure that you make it easy for them to share by including clickable links throughout the presentation, such as by using the handy ‘embed’ feature. You should also contain a link to your company’s website so that anyone viewing the deck from outside of SlideShare know who you are.

What about using links to back-up your point? Social Media Examiner explains that “you can link directly to that slide within your article” by adding  “/” and the number of the chosen slide right after the SlideShare page URL.

Embed on Your Blog

As previously mentioned, SlideShare presentations are easy to embed. This means you should also be embedding the presentations onto your blog or website – which will drive traffic to your site instead of SlideShare. By posting your presentation onto your blog you’re achieving the following, according to Jeremy Abel on Mannix Marketing, Inc. :

  • Additional, Quality Content: Your presentation will show “search engines that you have something of value to say about hot topics in your industry.”
  • Market Your Business: It gives you the chance to prove “your prominence in the industry.”
  • Authority: You’ll also prove to search engines and visitors that you’re an authority figure within your industry.

You should also embed your presentations into any sites that you contribute for if possible.

Share It Everywhere

Another proven SEO tactic is to share your presentation across multiple social media channels. Whether it’s Facebook, Twitter, LinkedIn or Pinterest, you can help increase the views of your presentation by giving it a little push on your social channels. More importantly, as Mark Sherbin notes, is that in the more “places you can embed your presentations, the more authority they’ll receive on search engine results pages (SERPs).”

You can also embed your presentation onto YouTube by following these three easy steps:

  • Head over to My Uploads, click Edit > Settings > Edit YouTube video.
  • Type or paste the YouTube video URL into the box.
  • Select the position and just click Insert & Publish.

As whole, SlideShare is easy to integrate with most social networks, so sharing it in as many places as possible isn’t all that challenging.

Include a Call to Action

Since SlideShare makes it easy to embed links, it’s also easy to include a call-to-action (CTA) at the end of your presentation – such as that link to your website. The idea is to get visitors to visit a landing page for something additional, like a free trial or free download if they fill-out a form.

Just remember that when creating a CTA, you want to use actionable phrases like “Download Now,” “Get Your Free Trial,” or “Speak to an Expert.”  HubSpot  suggests you make the CTA standout, as well as keeping it short, personalized, and keyword rich.

Make Use of Slideshare Pro Features

Up until August 20, 2014, SlideShare users had to pay for some nifty pro-level features. However, you now have access to these features for free. According to ClickZ , these include:

  • Analytics, including real-time, referrer, and engagement metrics.
  • The ability to customize SlideShare profile pages, which gives businesses more freedom to express their brand identity.
  • Video uploads (up to 500 MB – the free version formerly provided only 300 MB).

By using these features, you have the ability to create more powerful presentations and increase their optimization for social media platforms and search engines.

Action words, chose by the media, influence public perception of a social issue. 

Interestingly a group of researchers from Wilfrid Laurier University in Canada and Wharton in the US also found that word choices impact the song’s popularity. By applying text mining analytics to Billboard charts, the group found that songs with somewhat more unique texts performed better than those with pretty standard lyrics. A 16% differentiation in lyrical topics within a song was enough to propel it higher than songs in similar genres.

As the name implies, action verbs denote some dynamics — state, movement, result, etc. We use action verbs in our everyday speech a lot to describe what and how we do things. As author Elwyn Brooks White suggests : 

“Write with nouns and verbs, not with adjectives and adverbs. The adjective hasn’t been built that can pull a weak or inaccurate noun out of a tight place.”

Strong verbs don’t need adverbs to reinforce them. Compare these two statements:

The first sentence merely states the fact. But the second one better conveys the emotion, the urgency of getting out of the room. It adds color to the narrative and sets the right mood.

As you proofread your slide deck, look for weaker verbs and then replace them with stronger synonyms. Some common offenders include: 

  • State-of-being verbs such as am, does, do, could, might, etc. While they have their merit, oftentimes, you can find a more descriptive alternative, conveying an extra emotion. 
  • Verbs ending in -ing : wishing, planning, forgetting. Be bolder. Use present or past tenses instead.

The steps in this article will show you how to display the Document Properties panel in your Powerpoint 2010 presentation.

Once this panel is displayed, you will be able to add information to it, including keywords, comments, titles, and more.

Do you need to make your Powerpoint presentation fit on a different size of paper? Learn how to change the page size in Powerpoint 2010 .

Step 1: Open your presentation in Powerpoint 2010.

Step 2: Click the File tab at the top-left corner of the window.
