Cover letter question

Hello there,

I am writing cover letters to a few professors whose research is of my interest and would like to work with for a Master's degree (neuroscience stem field in Canadian University). I tend to write lengthy documents. I am wondering what is an acceptable page-range for a cover letter expressing interest for supervision? I have seen 1-2 pages, although I would prefer to aim towards 2 pages. This being said, I want my letter to be short enough that they will consider reading it. TIA! :)

Write your cover letter in the body of an email/message

When writing your Graduate cover letter, it’s best to type the content into the body of your email (or the job site messaging system) and not to attach the cover letter as a separate document.

This ensures that your cover letter gets seen as soon as a recruiter or employer opens your message.

If you attach the cover letter as a document, you’re making the reader go through an unnecessary step of opening the document before reading it.

If it’s in the body of the message itself, it will be seen instantly, which hugely increases the chances of it being read.

Your greeting should be personable but professional. Not too casual, but not too formal either

Avoid old-fashioned greetings like “Dear sir/madam ” unless applying to very formal companies.

How to find the contact’s name?

Addressing the recruitment contact by name is an excellent way to start building a strong relationship. If it is not listed in the job advert, try these methods to find it.

  • Check out the company website and look at their  About page. If you see a hiring manager, HR person or internal recruiter, use their name. You could also try to figure out who would be your manager in the role and use their name.
  • Head to LinkedIn , search for the company and scan through the list of employees. Most professionals are on LinkedIn these days, so this is a good bet.

Identify the role you are applying for

Once you’ve opened up the cover letter with a warm greeting to start building a relationship, it is time to identify which role you want to apply for.

Recruiters are often managing multiple vacancies, so you need to ensure you apply to the correct one.

Be very specific and use a reference number if you can find one.

  • I am interested in applying for the position of *Graduate position* with your company.
  • I would like to apply for the role of Sales assistant (Ref: 406f57393)
  • I would like to express my interest in the customer service vacancy within your retail department
  • I saw your advert for a junior project manager on Reed and would like to apply for the role.

Highlight your suitability

The sole objective of your cover letter is to motivate recruiters into to opening your CV. And you achieve this by quickly explaining your suitability to the roles you are applying for.

Take a look at the job descriptions you are applying to, and make note of the most important skills and qualifications being asked for.

Then, when crafting your cover letter, make your suitability the central focus.

Explain why you are the best qualified candidate, and why you are so well suited to carry out the job.

This will give recruiters all the encouragement they need to open your CV and consider you for the job.

Keep it short and sharp

A good cover letter is short and sharp, getting to the point quickly with just enough information to grab the attention of recruiters.

Ideally your cover letter should be around 4-8 sentences long – anything longer will risk losing the attention of time-strapped recruiters and hiring managers .

Essentially you need to include just enough information to persuade the reader to open up your CV, where the in-depth details will sit.

Sign off professionally

To round of your CV, you should sign off with a professional signature.

This will give your cover letter a slick appearance and also give the recruiter all of the necessary contact information they need to get in touch with you.

The information to add should include:

  • A friendly sign off – e.g. “Kindest regards”
  • Your full name
  • Phone number (one you can answer quickly)
  • Email address
  • Profession title
  • Professional social network –  e.g. LinkedIn

A Career Expert's Top 6 Tips For An Incredibly Effective Cover Letter

Writing an amazing cover letter can feel impossible, but putting in that effort is so worth it. "Cover letters are an opportunity to make a case for why you’d excel at the job, totally aside from what’s on your résumé," Alison Green, a former hiring manager who runs the Ask a Manager blog, tells SELF. "Employers aren’t just hiring experience," she explains. Instead, they're looking for someone who more or less has the whole package, which is hard to tell if all they know is your job history! Here, Green offers her expert insight on how to make your cover letter rise to the top of the pile.

1. Use a more casual opening than "To whom it may concern."

Since the most successful cover letters are usually more conversational than formal, it can be good to leave this one behind. "If you know the name of the hiring manager, use that. But if you don’t, you really don’t need to go to great lengths to try to track it down," says Green. In instances where you have no idea who's in charge of the process, she recommends starting off with "Dear hiring manager" instead.

2. Inject some personality that plays to your strengths.

A cover letter that repeats what's on your résumé is a wasted opportunity to shine. "When you’re facing hundreds of generic form cover letters that summarize résumés, one written using a conversational tone, like it's by a real person, is incredibly refreshing," says Green. To catch the hiring manager's attention, add interesting tidbits that give a glimpse of who you are while also emphasizing why you'd be excellent in the position. Think of it as showing instead of telling—you're not just saying you're qualified, you're backing it up with examples.

Green remembers one woman who pulled this off pretty flawlessly. "Once when I was hiring for an assistant job, a candidate mentioned that her friends teased her about her obsessive organization because she color-coded her closet and kept her music catalogued on a spreadsheet," says Green. "That’s not the sort of thing that you’d put on a résumé, but it quickly gave me a sense of who she was and why she might be a great fit for a job that required organizational skills." Thanks to those kinds of compelling details (in addition to other awesome qualities, of course), the candidate ended up scoring the job .

That's not to say you can't touch on various details of your past roles! You can and should, but instead of standing alone, each one should be fleshed out to give the hiring manager a better picture of who you are. Maybe you talk about how thanks to your meticulous research, a recent presentation you made clinched a major deal for your office. Or perhaps this is your chance to mention how your career trajectory points to a long-held interest in what the company does. Whatever it is, that extra information can help you stand out in a good way.

3. Resist the urge to say you'll follow up to schedule an interview.

There's a difference between taking initiative and jumping the gun. "This is overly pushy and will turn off most hiring managers," says Green. "You've already expressed interest by applying for the job, so now it's in the employer's court to review your application along with the others they've received and decide if they’d like to talk further." She adds that most people who write this don't actually follow up, so then they seem unreliable in addition to being too forward.

4. Stay away from cover letter clichés.

You don't need a gimmick to pique the interest of whoever's reviewing your application. "Hiring managers don’t want to feel like you’re selling them," says Green. "They want to feel like you’re talking to them like a colleague." To that end, she suggests cutting anything "aggressively sales-y" from your cover letter. Think openings like, "If you are looking for a dynamic professional who can X, Y, and Z, look no further!” Beyond seeming forced, they've seen it before. "It's so generic at this point that the hiring manager’s eyes are likely to glaze over," says Green.

5. Avoid phrases like, "I'm uniquely qualified for this job."

Along with "I'm the best candidate for this position" and other variations on the theme, these declarations can come across as either clueless or arrogant. "You just have no way of knowing those things, since you don’t know what the rest of the candidate pool looks like," says Green. Something self-assured but not hinting that you're omniscient is probably a better bet, like "I'm confident my X and Y could make me a great asset to your team."

6. Hit the length sweet spot.

If you can fill about a page with quality content, you're golden. "The perfect length is the amount of space it takes to explain why you’re an exceptionally strong candidate for the job. Half a page usually won’t be enough to do that," says Green. "On the other hand, you also shouldn’t be writing to hit a word minimum, since that often doesn't lead you anywhere good."

She suggests asking yourself if your cover letter explains why you'd thrive in the position without straight-up rattling off your work history at any point. If so, it's probably offering up just the right dose of "I'm amazing, you should bring me in for an interview ASAP" vibes that can get you one step closer to landing a new job .

bkm125: What you really want people to be looking at is the resume. The longer your cover letter is the larger the chance that you'll have a typo or say something stupid. Just tell them what job you're applying for, who you've been in touch with at the firm, and maybe a few sentences about your qualifications and lock up the deal with a solid resume.

K.I.S.S: Keep It Simple Stupid.

Mention who you've talked to at the firm , your interest in the job, your qualifications , and briefly (very briefly) explain any gaps in your resume .

Avoid excuses , more on this later.

Two or three paragraphs is all you need for that. Any more than that , and you're giving them potential reasons to ding you .

Here's some great advice from @blackice".

blackice: The best thing you can do is name drop people you have talked to. That way I know you have done your homework, and I can ask the person you talked to how your chat was. I think cover letters are better when they are focused on your past work experience as opposed to general and arbitrary sentiments about how you are a "hard worker and team player with a strict attention to detail".

If you've talked to someone at the firm and they'd remember you, DO namedrop them in your cover letter.

Common Cover Letter Mistakes

Here are some of the usual mistakes candidates make in their cover letter as mentioned by our member @qonnect.me.

This is an example of an excuse in a cover letter:

"I realize I have more professional experience in technology than in finance. I believe that was just due to bad luck due to graduating from my MBA program at the height of the 'Great Recession '. However, I am 100% committed and motivated to prove myself in a finance position."

Bad luck? No, it's the shitty and difficult-to-read resume , cover letter , and 'research reports' that are the issue .

What goes on in the recruiters head: I'm almost certain you would be a terrible employee just by the quality of the work you sent me in a cold email . You graduated from college 10 years ago, by the way. I remember at least a few of those as being pretty good years. If you were halfway decent, you could have squeaked in the industry in more than a few of those years.

Please do not pin all of your circumstance on luck , especially in a cover letter .

Even if the reader is a big believer in luck , you're telling him you're unlucky .

Who wants to hire someone who's unlucky? It seems the bad luck streak started in utero, if you ask us.

Revealing Your Ignorance:

Even worse than just plain ignorance, is the below quote from an attached research report that a candidate had written. Since he thought it was worth including, I assume the report was something he was proud of, but it was cringe-worthy.

"I am placing a STRONG BUY recommendation on [company]. ("ticker") and believe that [the company], at the current price of $10.00, trades at a 123% discount to my estimated fair market value of $22.30" (Both made up numbers to scale to the actual numbers listed in the 'report')

The report should have never been attached .

It made a weak applicant look even worse . He's clearly never done anything but 'book learn' on these subjects. It's painfully obvious by reading the report. He uses four valuation methodologies on the stock with the sole intention of showing that he knows more than one valuation method .

If you're thinking of including a research report on a company when you're cold emailing people, it's a high-risk strategy. Your research probably sucks unless you've been doing it professionally. If there is any doubt at all about including a 'research report', do not do it.

Side note: The research report had a lot of opinions and not a lot of facts, and it lacked connections between really basic facts about the current state of the business to the 'projections'.

If you don't think you have a chance to get the job, you can toss a Hail Mary with your cover letter .

Here's a cover letter an audacious undergrad used in an effort to stand out and grab the attention of its reader .

A big swing that's either a hit or miss . We don't recommend using this cover letter unless you lack the slightest chance of getting the interview in the first place.

Dear BLOCKED, My name is (BLOCKED), and I am an undergraduate finance student at (BLOCKED). I met you the summer before last at Smith & Wollensky's in New York when I was touring the east coast with my uncle, (BLOCKED). I just wanted to thank you for taking the time to talk with me that night. I am writing to inquire about a possible summer internship in your office. I am aware it is highly unusual for undergraduates from average universities like (BLOCKED) to intern at (BLOCKED), but nevertheless, I was hoping you might make an exception. I am extremely interested in investment banking and would love nothing more than to learn under your tutelage. I have no qualms about fetching coffee, shining shoes, or picking up laundry, and will work for next to nothing. In all honesty, I just want to be around professionals in the industry and gain as much knowledge as I can. I won't waste your time inflating my credentials, throwing around exaggerated job titles, or feeding you a line of crap (sic) about how my past experiences and skill set align perfectly for an investment banking internship . The truth is I have no unbelievably special skills or genius eccentricities, but I do have a near perfect GPA and will work hard for you. I've interned for Merrill Lynch in the Wealth Management Division and taken an investment banking class at (BLOCKED), for whatever that is worth. I am currently awaiting admission results for (BLOCKED) Masters of Science in Accountancy program, which I would begin this fall if admitted. I am also planning on attending law school after my master's program, which we spoke about in New York. I apologize for the blunt nature of my letter, but I hope you seriously consider taking me under your wing this summer. I have attached my resume for your review. Two common mistakes that candidates make while recruiting for IB: 

  • Using phrasing like "After my summer analyst stint, I learned the entire deal execution process...", "I am extremely proficient in Excel and financial modeling ...", etc. You get the idea. Be confident, but don't over-emphasize anything out of the scope of your ability to speak to it.
  • Not enough emphasis on teamwork. This is important. People should know that you are able to work with others. This is easy to incorporate, just give a brief two sentence overview of what your team structure was and why it made sense.
