References are people you can rely on to provide positive recommendations for you when applying for jobs or higher education opportunities. The people you list as references should know your abilities, previous experience and skills you possess, and be willing to recommend you as a viable candidate for the positions for which you apply. Follow these steps to learn how to properly create a reference list.

Selecting Your References

Step 1 Select the people you think would make good references.

  • You could also select colleagues, peers or co-workers who can provide insight to your work ethic, skill levels and abilities. People who can provide examples detailing your positive qualities because of your work relationships are effective references.
  • Consider people with whom you've volunteered or worked with through a non-profit organization. Despite not being paid for your work, you may have shown leadership or other skills that can be valuable as a candidate for a job or higher education. People with whom you've volunteered may be able to share details about your skills.

Step 2 Ask the people you would like to use as references if it is ok to do so.

  • When asking someone to be your reference, make sure that they plan on giving you a positive recommendation. You should try to select people you know will give you an excellent recommendation.

Step 1 Format your references in the same way as your resume.

  • If you would like to make a clear break between your header and the content of your page, add a line below your contact information.

Step 3 Create a title for your page.

  • Write down your first reference. His or her name should be in bold. Underneath his/her name, write his/her relationship to you (ie. Professor, or Boss) and the company or program that you both worked for.
  • Write down the company’s address if your reference still works at that company. If he/she does not, do not list any address.

Do: Be Professional When You Namedrop

I am writing to you to express my interest in the Sales Representative position available at Entertech Inc as recommended to me by Joe Smith. Joe and I have worked closely together for a number of years and he made me aware I could be a good fit for this position given my experience and record in sales.

As you can see from this simple example, the reference  doesn’t need to be long or wordy  to be formal and professional. It focuses on an indirect way of selling yourself that addresses the needs of the role whilst giving you the best introduction possible.

Don’t: Name Someone Without Getting Permission First

It’s very bad business etiquette to namedrop someone in a cover letter without asking them first.  Always get permission  before sending out a document with a named professional in case the recruiter contacts them regarding your application.

Not getting permission upfront can have negative consequences for a couple of reasons. First and foremost it  could burn your bridges  with the referee in question.

Secondly, it might undermine your chances of getting picked if the recruiter notices some unfamiliarity between yourself and the referee.  Honesty is highly valued in companies  and if you state that someone has recommended a position to you when they haven’t, it could lead to you losing out on the role.

Ideally, you should  send a copy of your draft cover letter to the person  you’re naming before submitting it. That way you’ll be able to ensure they are happy with the information about them you’ve provided.

Do: Explain Your Connection to the Referee

The recruiter needs to be able to understand  why your referee might have recommended you  and how this might connect to your eligibility for the job. Therefore always make it clear whether they have referred you for any of the following reasons:

The Right Way to Submit References During Your Job Search (Template Included)

As you’re applying to jobs, you may be wondering about the best way to submit your references. Should you put them on your initial application materials? And how would you even list references on a resume?

The answer is, you don’t.

Listing your references on a resume that should be one page (or maybe two pages ) is a waste of valuable space. A hiring manager or recruiter doesn’t have the ability to contact references for everyone who applies to an open position or even everyone they bring in for an interview. So save that resume room for detailing your skills, achievements, and qualifications.

What about writing, “ References available upon request, ” on your resume?

Avoid this too.

There’s “no need to state anything about references on your resume. It is assumed that you’ll share the info when requested,” Muse career coach Leto Papadopoulos says. Don’t waste a resume line to say something that’s taken for granted. (After all, you wouldn’t write, “Available for interviews upon request,” would you?)

When Do You Need References?

“Employers will typically check your references just before they’re ready to make an offer,” Papadopoulos says. That’s why you don’t need to provide them when you’re first applying for a job. But it’s a good idea to have them ready to go before you even land an interview.

If a company is ready to hire you pending a reference check, the last thing you want is to be held up by asking people to be a reference or collecting their contact information. Instead, you should “have your references ready and keep them updated during your search,” Papadopoulos says.

Who Should You Ask to Be a Reference?

Most companies will ask for two or three references from a candidate, so it’s always best to have at least three ready to go. Some prospective employers may request a certain mix of types of references, but generally you want to list former managers (or your current manager if they know about and are supportive of your job search) and former or current colleagues; if you’re earlier in your career and don’t have many former managers, you could list professors you worked closely with. If you’d be leading a team, you may be asked for a reference from a former direct report. For some client-facing roles, like account management, companies might want to hear from a former client or customer, so be sure to read up on the norms for your industry.

The Right Way to Provide Your References to an Employer

Once you know who your references will be, you want to make it easy to submit them to employers when asked. So you should compile everything you need into a reference sheet, one handy—and well-formatted—document that can expedite the hiring process in the final stages.

When the time comes, you can attach your reference sheet to an email as a Word document or PDF file, or you can simply copy and paste the information into the body of the email.

What Information to Include on Your Reference Sheet

On your reference sheet, you should list each reference with the following information:

  • Current Job/Position
  • Phone Number
  • Email Address
  • Reference Description: Write one sentence explaining how you know or have worked with this person, where, when, and for how long. (Check out the example below to see what this looks like in action.)

There’s no need to include your reference’s home or work address—companies aren’t going to be mailing them anything. And if a reference expresses a strong preference for a certain method of contact, it’s OK to put “(preferred contact)” next to that line on your reference list.

To keep things easy for the hiring manager, it’s also a good idea to include your own name, phone number, and email at the top of the sheet (see the template and example below).

  • The Formalities: Includes the date, the sender's name and contact information, and the person or company to whom the letter is addressed.

Recommendations and references have a similar role in a selective process. Typically, recommendations are formal, confidential letters provided to a graduate school or other academic-based program while references are used by employers to confirm qualifications before making an offer.

What Is a Reference

References are individuals who can speak about your work to a prospective employer.

Generally, you will be asked for 3–5 references by human resources or the hiring manager after you have gone through the interview process. These individuals will be contacted to share feedback about working with you, either with a short survey or in a phone conversation.

The questions typically focus on employment facts (job title, job duties, punctuality, length of employment) and workplace performance (reliability, integrity, professionalism, productivity).

Ask those who can speak highly of you and your qualifications, such as reliability, initiative, work habits, knowledge, experience in the field, and other relevant qualifications. This might include former or current supervisors, professors, and coaches. You may want different references for different types of jobs.

Consider supervisors from internships, summer or part-time jobs, volunteer work, and campus jobs. You can also include others at an organization, such as the lead for a project you contributed to.

Sometimes employers specifically ask about speaking with a current supervisor. You might not want to share their contact information, either because your current supervisor does not know you are applying elsewhere or because you do not have a good relationship with them and you feel they might give you a bad reference.

In either case, make sure your reference list includes at least one supervisor, ideally the next most recent, and someone else from the current organization.

When to Ask

Ask when you begin applying to positions, with additional check-in emails as employers request your references.

Requesting a Reference

Dear _____________, I hope you are doing well. I wanted to let you know that since we last spoke, I am currently job searching. I am in the process of applying to ________. I have been asked to provide references as part of the hiring process. I was wondering if you would be willing to serve as a strong reference for me. If yes, please share your preferred email address and phone number. It seems like they will be conducting reference checks within the next ______ weeks. I have attached my updated resume, my cover letter, and the job description for this role. Thank you in advance for your consideration, and I look forward to hearing back regarding your decision. After Asking

Follow up with each of your references when you hear from the employer asking for their information.

Let them know that they will soon be contacted and by whom (if you know) and send a copy of your resume and cover letter. Also include information about the employer and the position, such as the responsibilities, key qualifications, and a brief description of how your experience is a good fit.

Follow up after you have accepted a position with an update and a thank-you.

Reference List

Occasionally, organizations request a list of references as part of your application or early in the process. Although rare, it does happen. We do not recommend including references on your resume. You only want to supply references when asked or instructed to do so.

Create the list as a formal application document, following the format and style you used with your resume and cover letter. Use the same header with your name and contact information.

For the list itself, include the following for each reference:

  • Organization name
  • Phone number, including any extension
  • Email address

If the person has since left the organization or the role, include a note about what role they were in when you worked together.

Three documents you'll need when conducting a job search are a resume, cover letter and list of references. Each document has a specific purpose. You can prepare them yourself, using formatting guidelines you find online from resources such as the Purdue Online Writing Lab (OWL) or an employment website.

Writing Your Resume

The purpose of a resume is not to get you a job, but to get you a job interview. A strong resume will capture the attention of a hiring manager, highlighting your skills and qualifications and demonstrating why you would be a good candidate for hire.

There are basically two types of resume formats: chronological and functional. Consider drafting both types of resumes, then choose the one that you feel best represents what you have to offer prospective employers. HR Dive reports that recruiters look at a resume for an average of 7 seconds before deciding whether to read further. Limit your resume to a single page if you can, focusing on your most relevant experience and skills.

Chronological vs. Functional Resume

As explained by the employment website Indeed , the chronological resume lists your work experience, beginning with the most recent and typically going back no more than 10 years. The chronological format is easy for employers to read. It is best suited to job candidates who have a consistent work history and can demonstrate increasing responsibility over time.

The functional resume, as defined by the employment website Monster , uses a skills-based format. In a functional resume, you group important skills into categories to demonstrate your expertise. It's a format best used by those who do not have much experience, who have a gap in their work history or who have had a series of short-term, unrelated jobs.

Quantify Your Achievements

Whether you choose a chronological or functional format, your resume is essentially your marketing document, which you're using to sell yourself to prospective employers. Don't just list your duties – that only tells what you were supposed to do, and not how well you did it. Instead of saying "responsible for," use action verbs. Quantify results whenever possible.

Here are some examples of resume statements using action verbs and outcomes:

  • Coordinated fund-raising events for community food pantry, raising over ​ $11,000 ​ and increasing community awareness.
  • Implemented new filing system, increasing office efficiency by 10 percent.
  • Processed ​ $25,000 ​ worth of customer orders without error.
  • Earned Employee of the Month recognition 3 times in one year.

Introduce Yourself with a Cover Letter

When sending a resume via email or postal mail, use a cover letter to introduce yourself and to highlight the skills and experience you detail in your resume. As with the resume, tailor your cover letter to a specific employer or position rather than using a generic, one-size-fits-all approach. Greet the addressee by name instead of "Dear Sir or Madam" or "To Whom It May Concern."

Be sure you proofread your cover letter and your resume. Typos, spelling errors and grammar mistakes can immediately disqualify you in the mind of a hiring manager, no matter how strong your credentials are. Take the time to look over your documents. You may want to enlist the aid of a friend or trusted colleague.

List of References

A prospective employer will want to check references to verify items on your resume such as work history and education. References should not be included in a resume or cover letter but typewritten separately on a sheet of paper that you can give to a hiring manager when asked. Be sure to get permission first before listing someone as a reference. Include current contact information: name, job title, phone number and email address.

How to ask for a letter of recommendation

First, carefully consider the person you’re asking. Approach individuals who are familiar with you and can attest to your abilities and personal qualities. Avoid requesting too much from any one person and ensure that they have a good understanding of your work and abilities.

It's a myth that high quality job openings are few and far between thanks to Covid. The truth is, despite the economic uncertainty created by the pandemic, there are many great openings out there. And to get them—or, at least, have a chance at getting them—you first need to capture the attention of hiring managers. And the best way to do that is to write compelling cover letters. So here are the three keys to writing cover letters that stand out.

1. Convey your personality, quirks and all.

Showcasing your uniqueness and allowing your personality to shine through in your cover letters can magnetize hiring managers, sending instant messages that you might be the candidate they're looking for. The secret to achieving this is to use specific details, rather than vague ones.

For example, the following was recently used by an applicant when applying for a Head of Marketing position (shortly after sending this, the candidate was interviewed and then hired):

“I have a passion for data and analytics. I enjoy spending (a little too much time) geeking out in Google analytics, advertising platforms, and BI tools (Tableau and Looker), digging deep into data to identify opportunities that can be leveraged to drive growth and inform testing strategies for campaigns, websites, and products.”

Now compare the above to the below (which has less personality and fewer details, and thus would likely not stand out):

“I am well versed in data analytics, and I am experienced with Google analytics, BI Tools, and other advertising platforms. I have a proven ability to inform testing strategies for campaigns for websites and products.”

Here's another example of cover letter phrasing that captures the attention of hiring managers:

“I'm rather obsessed with personal organization. I read three organizational blogs on my own time, and I've organized my desktop folders into color-coded sub-categories. My friends laugh at me for saying things like, ‘An organized space equals an organized mind,' but I don't like wasting time looking for things.” 

Now compare that to this less specific phrasing:

“I have a proven track record of being organized, and I have a passion for it. I have a proven knack for keeping files organized on an ongoing basis, and I have put organizational processes and procedures in place for my department. The bottom line is organization is always my highest priority.” 

2. Prove your level of dedication to your profession.

Another way to stand out is to illustrate specific things about your dedication to your field. In the following example, a candidate showcases her dedication to her profession, proves that she spends a lot of time thinking about driving results in her field, and shows that she takes concrete steps in order to be a high quality contributor in her field. All of which goes a long way when it comes time for hiring managers to decide which candidates to interview. 

“I believe that a good marketing strategy requires seeking out the latest trends and staying one step ahead of the competition. I've attended the Traction conference two years in a row and completed the 2018 Reforge Growth Series, a highly credible and exclusive course that only accepts 10 percent of applicants and is built by leaders from Hubspot, Uber, and other firms. Through these professional developments, I've opened my mind to uncommon marketing methods, and I pride myself on thinking outside the box to develop strategies that create sustainable, low-cost customer acquisition loops that lead to long-term positive ROI.” 

Now compare the above to the below, which is less detailed and includes less specific phrasing:

“I have the skills and requirements for this position, and I believe I would complete every task asked of me to the highest standard expected. My background and experience make me an excellent fit for this position for many reasons. I am very interested in marketing, and I think I would be a great asset to the team.”

3. Include concrete, quantitative results that show your value.

In any written application, you'll need to showcase some form of quantitative results to stand out. Note that even if you don't have a lot of shiny results in your career yet (or even any relevant experience—which is okay!), you can still use words to capture someone's attention with what you have done. And if you do have a record of achieving quantifiable results, then by all means include them, like in the below:

“I developed several Google ad campaigns that were worth more than $500,000 and that resulted in high-level customers. Also, through testing and optimization, I increased newsletter sign-ups by more than 200 percent.”

Now compare that to this bland sentence:

“I have experience in Google ad campaigns, as well as experience in testing and optimization.”

A final note

When trying to convey your personality, get across your dedication, or communicate your value, there's a big difference between saying you're a good fit for the job and actually showing it.

So, when writing your cover letters, try to hold these words in mind: I know you (the hiring managers) don't know me, so let me show you exactly why I'm completely invested, committed, and passionate about doing this specific type of work. And let me show you the specific reasons why hiring me, over all other candidates, would be beneficial to you.

When you're applying for a job or contacting an employer speculatively, the format of your cover letter will vary depending on whether you have a named contact and the reason for your letter. It's important that you address a cover letter correctly, as it's the first thing the reader will see. It needs to be professional and create a good impression.

What is a cover letter, and why is it important?

A cover letter is a document sent with your CV or application for a job opening. A great cover letter shows your reason for applying. It also pulls together all the main evidence supporting why you're the best person for the job, as outlined in your CV, application, and other supporting documents.

Each cover letter you write is highly tailored to the position you’re applying for and the hiring company. It should address essential criteria and elaborate on important points in your CV. Consider your cover letter to be your sales pitch. A great cover letter invites a recruiter to read your CV or application.

Who do you address a cover letter to?

Your cover letter should be addressed to the person responsible for recruitment. If you don’t know the person's name, there are ways to find out. Finding the name can be the difference between your letter being read or lost in the pile, so follow the guidelines below to make sure you address your cover letter most effectively.

Addressing a cover letter with a name

This is the best start if you have a name for your recipient. This means the letter will likely be delivered to the right person rather than lost or sent to someone without the power you need.

A cover letter is a formal document that should be addressed as such. The most professional way to do this is with "Dear." For example:

Dear Mr. Miller

Dear Ms. Jones

Dear Dr. Sullivan

If you don’t know the person’s gender or preferred pronouns, you can use their first name. For example: "Dear James Miller." Don’t include a comma or colon after the greeting.

Addressing a cover letter to a recipient with a professional title

If the recipient of your cover letter has a professional title, always include it. Someone with a PhD will be a doctor rather than a Mr/Ms. This also makes things easier if you need help deciding which personal pronoun to use.

Addressing a cover letter without a named recipient

It's worth finding one when deciding who to address a cover letter to when you don’t have a name. This is covered in more detail in our ‘First steps in determining a recipient’ section below.

If you absolutely can’t find a name, address your cover letter to the appropriate department within the company or organisation. For example, "Dear [Department] Hiring Team". You can use that if you know the job title of the person you need to send your letter to, and it’s just their actual name that eludes you. For example: "Dear Head of [Department]" or "Dear Director of [Department]".

Addressing a speculative cover letter

When writing a speculative cover letter that isn't in response to a job posting, the principles are much like the above. You may or may not know the name of the person you're trying to reach. If you do, so much the better. Include the name.

The difference with a speculative letter is that a mutual connection may have given you the name of the appropriate recipient. If this is the case, mention that connection in your introduction. For example:

Dear Mr Morris

My former employer, Jenny Lee of Brandenburg and Associates, gave me your details after your new customer service department was developed.

Addressing a cover letter sent by email

Addressing a cover letter to send via email slightly differs from a printed one. A printed letter would include the recipient's address and the date, which is unnecessary in an email, as the letter will be the body of the email.

However, your email still needs to be as professional as a traditional cover letter. Formally address the letter, as you would in a printed cover letter. 

The subject line and an email cover letter are important to notice amid the hundreds of emails a recruiter might receive. Include your name, the job title you’re applying for, the reason for contact, and what is included in the documents you're sending. An example would be:

Helen Williams – Marketing Manager Position – CV and cover letter

If you have a recipient’s name but you're sending your email to an "info" address, you can include "FAO" (for the attention of) in your title:

FAO Mark Booth—Helen Williams—Marketing Manager Position

How to find the right recipient

If you don’t have a recipient for your cover letter, you'll need to do some research. You might even have a name but not an email address. Here are some tips for hunting down elusive contacts and their addresses.

Research websites

Check out the company website and social media sites. Use Google to piece together what you know and find details on lesser-known websites such as About pages. For example, if you know the desired department to contact, you can search for "Head of Marketing for [Department]" and see what it brings up.

If you have a name but no contact address, you can search for your contact: "Mr. Jones, Head of Marketing at [Company]." If you need a contact email address, you may find a social media page.

Call the company

The good old-fashioned telephone is an excellent way to find a contact for your cover letter. Call the company, explain why you are calling, and ask them to whom best to send your cover letter and CV.

Check LinkedIn

LinkedIn is a great tool for finding people thanks to its built-in and highly effective search function. You can search by the person's name if you have one, and for a more advanced search, you can add the company and location. If you find the person you’re looking for, you will see a "Contact info" link on their profile under their name, so you can attempt to message them and ask. 

If you don’t have a name, you can search the company and see who is listed as an employee. If the person you want isn’t listed, you may be able to contact someone in a related department, such as HR, and ask for assistance. You may even be able to get an introduction from a mutual connection.

Formatting your cover letter

The format of your letter is as important as who you send it to. Once you’ve tracked down the most appropriate recipient, you will want the rest of the letter to stand out, too.

Address and date

Your letter should be professionally formatted with your name, address, phone number, and email address in the top left. On the next line down, add the date. Then, on the left, add the name and address of the recipient. Under that, address the recipient with "Dear [Name]" on the left of the page as well.

If you send your letter digitally, which is far more common nowadays, it should be in the body of the text. At the top, you need to include the date, your city or town, country or province, phone number, and email address, but not the recipient's name and address.

How to Write a Cover Letter for Your Manuscript? Here are the Tips and Examples

A cover letter is often the first thing an editor reads when reviewing your submission. As your first pitch to the editor, the cover letter helps them gauge the suitability of your manuscript for publication in their journal. Imagine your work shaping the future of your field, gathering citations, and sparking discussions. A powerful cover letter is thus the first step to making that vision into a reality.   

In this article, we will guide you through the process of writing an effective cover letter and explain how you can get it right every time with examples. First, let us get started with the basics!  

Getting the Basics Right  

When writing a cover letter, it is crucial to address the editor by their correct and complete name¹ . If there are multiple co-editors, you can address your letter to the right person, based on their specialization or designated responsibilities. If unsure, it is okay to go with a more general salutation, such as “Dear Editors”¹ .   

Presenting your Research  

Provide a clear and concise title for your submission and specify whether it is an article, communication, review, perspective, or a manuscript belonging to some other category. If the journal guideline recommends, consider including a list of all authors in the manuscript.   

After covering the preliminary information, briefly explain your paper’s central theme or focus to give the editor an idea of its contents. Ensure this stays a brief outline, without going into too much detail.   

Conveying the Importance of Your Work  

How you communicate the impact of your work can make or break your cover letter. To make a strong impression on the editor, articulate the significance of your research clearly, emphasizing its relevance to the field. Additionally, show how your work aligns with the journal’s scope and mission.  

Including a Formal Declaration  

Some journals require a set of declarations from you to ensure that your manuscript adheres to its ethical code and the larger ethical standards of scientific publishing. Here are the required declarations in a cover letter:  

  • Originality of work:  
  • Confirm that your work is original and has not been published elsewhere. This tells the editor your research is unique.  
  • Conflict of interest statement:  
  • Be clear about any potential conflicts of interest. This includes any personal, financial, or professional connections that might affect your research.  
  • Funding source (if applicable):  
  • Tell where your research funding came from, if any. This includes any support or grants from organizations.   

Including Personal Suggestions for Reviewers on a Separate Page (optional)  

If there is no part of the submission process that collects researcher suggestions for reviewers, and there are special requests from the researcher for reviewers (e.g., recommending the inclusion or suggesting the exclusion of a specific reviewer, etc.), you may also make a note about this in the cover letter.

How does one reference a conference paper in a cover letter?

I'm applying to an entry level position with research elements to it. I want to reference a paper I used heavily this summer to influence my work that I did. It's a conference paper.

This is its arxiv.org page.

The sentence is something along the lines of, "I leveraged a paper, “Learning to Diagnose with LSTM Recurrent Neural Networks" (Lipton, Kale, Elkan, & Wetzel 2016) as a basis for my proof-of-concept ..."

I can't find a quality source on citing in line. Thank you!

Unless the application instructions require you to provide references in a particular format (unlikely but not impossible), your key objectives should be (a) to convey sufficient information to allow the reader to find the work that you're citing and (b) to be consistent in your referencing. Within those constraints, you are probably safe to provide the reference in whatever format best suits your needs.

You may want to:

  • provide the reference as a footnote (e.g. "… I leveraged a paper¹ …" and then details of the reference in the footnote) or
  • use an inline numeric or author-date citation (as in your question) and then at the very bottom of the page (after your signature etc) put "Reference: " and the details of the paper.

In choosing a format, you should also pay attention to the norms of citation formats in your discipline. So, for example, if it is normal in your discipline to use author-date citations then do that, but if it's more normal to refer to papers using numeric references (e.g. '[1]') then you should prefer that.
