How to prepare and deliver an effective oral presentation

The success of an oral presentation lies in the speaker’s ability to transmit information to the audience. Lucia Hartigan and colleagues describe what they have learnt about delivering an effective scientific oral presentation from their own experiences, and their mistakes

The objective of an oral presentation is to portray large amounts of often complex information in a clear, bite sized fashion. Although some of the success lies in the content, the rest lies in the speaker’s skills in transmitting the information to the audience. 1

Preparation

It is important to be as well prepared as possible. Look at the venue in person, and find out the time allowed for your presentation and for questions, and the size of the audience and their backgrounds, which will allow the presentation to be pitched at the appropriate level.

See what the ambience and temperature are like and check that the format of your presentation is compatible with the available computer. This is particularly important when embedding videos. Before you begin, look at the video on stand-by and make sure the lights are dimmed and the speakers are functioning.

For visual aids, Microsoft PowerPoint or Apple Mac Keynote programmes are usual, although Prezi is increasing in popularity. Save the presentation on a USB stick, with email or cloud storage backup to avoid last minute disasters.

When preparing the presentation, start with an opening slide containing the title of the study, your name, and the date. Begin by addressing and thanking the audience and the organisation that has invited you to speak. Typically, the format includes background, study aims, methodology, results, strengths and weaknesses of the study, and conclusions.

If the study takes a lecturing format, consider including “any questions?” on a slide before you conclude, which will allow the audience to remember the take home messages. Ideally, the audience should remember three of the main points from the presentation. 2

Have a maximum of four short points per slide. If you can display something as a diagram, video, or a graph, use this instead of text and talk around it.

Animation is available in both Microsoft PowerPoint and the Apple Mac Keynote programme, and its use in presentations has been demonstrated to assist in the retention and recall of facts. 3 Do not overuse it, though, as it could make you appear unprofessional. If you show a video or diagram don’t just sit back—use a laser pointer to explain what is happening.

Rehearse your presentation in front of at least one person. Request feedback and amend accordingly. If possible, practise in the venue itself so things will not be unfamiliar on the day. If you appear comfortable, the audience will feel comfortable. Ask colleagues and seniors what questions they would ask and prepare responses to these questions.

It is important to dress appropriately, stand up straight, and project your voice towards the back of the room. Practise using a microphone, or any other presentation aids, in advance. If you don’t have your own presenting style, think of the style of inspirational scientific speakers you have seen and imitate it.

Try to present slides at the rate of around one slide a minute. If you talk too much, you will lose your audience’s attention. The slides or videos should be an adjunct to your presentation, so do not hide behind them, and be proud of the work you are presenting. You should avoid reading the wording on the slides, but instead talk around the content on them.

Maintain eye contact with the audience and remember to smile and pause after each comment, giving your nerves time to settle. Speak slowly and concisely, highlighting key points.

Do not assume that the audience is completely familiar with the topic you are passionate about, but don’t patronise them either. Use every presentation as an opportunity to teach, even your seniors. The information you are presenting may be new to them, but it is always important to know your audience’s background. You can then ensure you do not patronise world experts.

To maintain the audience’s attention, vary the tone and inflection of your voice. If appropriate, use humour, though you should run any comments or jokes past others beforehand and make sure they are culturally appropriate. Check every now and again that the audience is following and offer them the opportunity to ask questions.

Finishing up is the most important part, as this is when you send your take home message with the audience. Slow down, even though time is important at this stage. Conclude with the three key points from the study and leave the slide up for a further few seconds. Do not ramble on. Give the audience a chance to digest the presentation. Conclude by acknowledging those who assisted you in the study, and thank the audience and organisation. If you are presenting in North America, it is usual practice to conclude with an image of the team. If you wish to show references, insert a text box on the appropriate slide with the primary author, year, and paper, although this is not always required.

Answering questions can often feel like the most daunting part, but don’t look upon this as negative. Assume that the audience has listened and is interested in your research. Listen carefully, and if you are unsure about what someone is saying, ask for the question to be rephrased. Thank the audience member for asking the question and keep responses brief and concise. If you are unsure of the answer you can say that the questioner has raised an interesting point that you will have to investigate further. Have someone in the audience who will write down the questions for you, and remember that this is effectively free peer review.

Be proud of your achievements and try to do justice to the work that you and the rest of your group have done. You deserve to be up on that stage, so show off what you have achieved.

5 Ways to Establish Your Credibility in a Speech

Establishing credibility during a speech doesn't have to be difficult.

If you’ve ever given a speech or a presentation, you’re probably familiar with the most popular advice: Have a clear thesis. Know your audience. Write out your key talking points on note cards. Be aware of your body language. Practice, practice, practice.

But there’s one element of delivering a speech that you must include to increase both your audience’s engagement and your subject level authority: credibility. Building credibility will help you gain trust and boost your impact. 

To make your public speaking more effective, here are five ways to build credibility with your audience that will increase trust, engagement, and impact.

What is Credibility?

We evaluate other people’s credibility every day. You may hear lawyers in courtrooms ask if a witness is credible. And in a time where fake news abounds, we ask about the credibility of websites, TV personalities, and commentators.

At the heart of credibility is believability. It is essentially asking, “Can this person be believed?” Credibility not only means believing that what someone says is true, but trusting them as well. You don’t trust your family member’s medical advice to be credible, but you trust your doctor’s. 

It’s the same thing with public speaking. You must have credibility when delivering your speech and your audience must see you as trustworthy and believable. Credibility is a two-way street: You can present yourself as credible, but your audience also has to believe your credibility as well.

The Importance of Building Credibility with Your Audience

Here are a few reasons why building credibility is so important while delivering a speech or talk.

Attention and engagement : If audience members view you as credible, they are more likely to be engaged in listening to you.  Polls show that those who trust leaders have six times the engagement than those who don’t . Listeners will  pay more attention to you, which allows you to make more of an impact.

Call to action : Credibility helps your audience take you seriously and will convince them to consider the argument you’re trying to prove or to the information you’re teaching. They’ are also more likely to act on the information, or respond to your call to action. Additionally, personalization and speaking directly to your audience’s needs can boost audience response to call to action by more than 200% .

Perceived authority and future engagement : If your audience sees you as a credible and authoritative source on the subject, they’ll be more likely to engage with your work further. 68% of people see someone who has expertise in their field as a thought leader and this leverage will help you continue to increase your prestige and influence.

The Elements of Speaker Credibility

The first element of speaker credibility is not only the knowledge a speaker shares, but also how they gained that knowledge.

For example, if someone was presenting about the impact of community health programs and had spent years working to develop community programs, the audience would believe the speaker’s credibility  due to their  knowledge gained by experience. 

However, if you do not have this experience and are presenting on a newly-learned topic, you can prove your credibility in other ways. A speaker can raise their credibility by explaining the research they did to prepare the speech, using data points to prove their thesis in the speech, and citing examples to fortify their argument. Showing that you invested time and effort to learn about a topic gives you the credibility to talk about it and can serve to increase your audience’s trust.

In Aristotle’s Rhetoric , he argues that one of the elements that contribute to a speaker’s “mode of persuasion” is their character. A speaker’s confidence, body language, engagement with the audience, positive tone, upbeat attitude, and care with which they share their subject matter can do as much to establish credibility as knowledge and examples.

5 Ways You Can Establish Credibility During Your Presentation

What are some ways to build your credibility so your audience trusts you as a speaker and source for information? These five tips will prepare you to have a credible impact when you deliver your speech.

1. Talk about yourself, your interests, and why you’re qualified.

One of the ways to establish credibility in your speech is to tell your audience why they should trust you to teach or inform them about a particular topic. Introduce yourself at the beginning and explain why you’re an authority on the given subject. You can offer examples of your past successes in the field, your educational background, and why you are personally invested in the topic. 

Studies have shown that those who are aware of an author or speaker’s credentials perceive them to “ have a higher level of expertise and their information to be more credible .” Having an interest in, family connection to, or qualifications for the topic you’re speaking about increases your credibility.

2. Connect to your audience by speaking to them and their needs, and offer them a new way of thinking.

Audiences  want to know what they’re going to get out of your talk. Consider how you’ll teach them something new, offer new strategies to take back to their workplace, or challenge them to look at the world in a different way. 

If your audience knows very little about the topic, use language that is easy to understand to make the information more accessible. 

Using “you” when addressing an audience is also proven to be an effective way to connect. This type of personalized engagement with the audience will show that you care about them and what they take away from the talk.

3. Cite sources, show data, and tell stories.

As with any research paper, study, or article, using sources to reinforce what you’re saying gives you credibility because another expert’s credibility is backing you up. For example, if you’re giving a speech on the benefits of technology in the medical field, citing studies that have already proven its benefits will help your audience be more willing to believe your argument. It also shows that you’ve done your research, and you’re placing your topic amidst an ongoing conversation. Additionally, telling a story increases audience retention by upwards of 70% .

4. Use open and friendly body language, take your time speaking, and make eye contact.

Studies show that upwards of 90% of what someone communicates is through their body language. We’ve all experienced situations where we’re more inclined to engage with someone who makes eye contact, has a friendly tone, faces us directly, and has a confident stance. 

The same should be true for public speaking. The way you portray yourself while delivering your speech can help boost your credibility, and an audience will be more responsive to someone who portrays themselves as confident and approachable.

5. Offer to take questions at the end.

Listening to and answering  questions at the end of your speech or presentation can be another chance to demonstrate your credibility with your audience. If asked, you can elaborate on the content you spoke about, talk about the research you conducted, and tell more stories that relate to your topic. It’s also a more informal time where you can further connect with individuals in the audience.

8.5: Goodwill Messages and Recommendations

Share the love! Rather than an optional cherry on top, goodwill messages are as essential to healthy professional relationships as they are in personal ones. Thank-you, congratulatory, and sympathy notes add an important, feel-good human touch in a world that continues to embrace technology that isolates people while being marketed as a means of connecting them. The goodwill that such messages promote makes both sender and receiver feel better about each other and themselves compared with where they’d be if the messages weren’t sent at all. In putting smiles on faces, such notes are effective especially because many people don’t send them—either because they feel that they’re too difficult to write or because it doesn’t even occur to them to do so. Since praise for some can be harder to think of and write than criticism, a brief guide on how to do it right may be of help here.

Whether you’re writing thank-you notes, congratulatory messages, or expressions of sympathy, follow the “5 S” principles of effective goodwill messages:

  • Specific: Crafting the message around specific references to the situation that it addresses will steer such messages away from the impression that they were boilerplate template statements that you plagiarized.
  • Sincere: A goodwill message will come off as genuine if it’s near to what you would say to the recipient in person. Avoid cliché Hallmark-card expressions and excessive formality such as It is with a heavy heart that I extend my heartfelt condolences to you in these sad times.
  • Selfless: Refer only to the person or people involved rather than yourself. The spotlight is on them, not you. Avoid telling stories about how you experienced something similar in an attempt to show how you relate.
  • Short: Full three-part messages and three-part paragraphs are unnecessary in thank-you notes, congratulatory messages, or expressions of sympathy, but appropriate in recommendations that require detail. Don’t make the short length of the message deter you from setting aside time to draft it.
  • Spontaneous: Move quickly to write your message so that it follows closely on the news that prompted it. A message that’s passed its “best before” date will appear stale to the recipient and make you look like you can’t manage your time effectively (Guffey et al., 2016, p. 144).

In the world of business, not all transactions involve money. People do favours for each other, and acknowledging those with thank-you notes is essential for keeping relations positive. Such messages can be short and simple, as well as quick and easy to write, which means not sending them when someone does something nice to you appears ungrateful, rude, and inconsiderate. Someone who did you a favour might not bother to do so again if it goes unthanked. Such notes are ideal for situations such as those listed in Table 8.5.2:

One person another One person’s act of kindness, including kind words said or sent, gifts given, or hospitality extended, was appreciated.

In most situations, email or text is an appropriate channel for sending thank-you messages. As we shall see in §10.3.3 below, sending a thank-you note within 24 hours of interviewing for a job is not just extra-thoughtful but close to being an expected formality. To stand out from other candidates, hand-writing a thank-you card in such situations might even be a good idea.

Following the 5 S’s of goodwill messages given above in §8.5.1 , a typical thank-you email message for a favour might look like the following:

I just wanted to thank you for putting in a good word for me with your manager. She told me today that I came highly recommended, and I knew right away who that came from—only the most kind and thoughtful person I’ve ever had the pleasure of working with! I really appreciate all the help you’ve given me over the years, but especially for bringing me this opportunity. It means a lot to me and my family.

If there’s anything I can help you with in return—anything at all—you name it. I owe you one.

Many thanks,

Notice that this message is short, specific to the situation that prompted it, sincere, relatively selfless, and spontaneously sent the day of the incident that prompted it. It would certainly bring a smile both to the recipient and sender, strengthening their professional bond.

Celebrating the successes of your professional peers shows class and tact. It’s good karma that will come back around as long as you keep putting out positive energy. Again, the 5 S’s apply in congratulatory messages, especially selflessness. Such messages are all about the person you’re congratulating. You could say, for instance, I really admire how you handled yourself with such grace and poise under such trying circumstances in the field today.

Few situations require such sincerity and care with words as expressions of sympathy. Misfortune comes upon us all, and tough times are just a little more tolerable with the support of our friends, family, and community—including those we work with. When the loved-one of a close associate dies, for instance, expressing sympathy for their loss is customary, often with a card signed by everyone in the workplace who knows the bereaved. You can’t put an email on the mantle like you can a collection of cards from people showing they care.

What do you say in such situations? A simple I’m so sorry for your loss , despite being a stock expression, is better than letting the standard Hallmark card’s words speak for you (Guffey et al., 2016, p. 147). In some situations, laughter—or at least a chuckle—may be the best medicine, in which case something along the lines of Emily McDowell’s witty Empathy Cards would be more appropriate. McDowell’s There Is No Good Card for This: What to Say and Do When Life Is Scary, Awful, and Unfair to People You Love (2016) collaboration with empathy expert Kelsey Crowe, PhD, provides excellent advice. Showing empathy by saying that you know how hard it can be is helpful as long as you don’t go into any detail about their loss or yours. Remember, these messages should be selfless, and being too specific can be a little dangerous here if it produces traumatic imagery. Offering your condolences in the most respectful, sensitive manner possible is just the right thing to do.

It wouldn’t go over well if someone thanked you for your help and you just stared at them silently. The normal reaction is to simply say You’re welcome! Replying to goodwill messages is therefore as essential as writing them. Such replies must be even shorter than the messages that they respond to. If someone says a few nice things about you in an email about something else, always acknowledge the goodwill by saying briefly “Thank you very much for the kind words” somewhere in your response. Without making a mockery of the situation by thanking a thank-you or shrugging off a compliment, returning the love with nicely worded and sincere gratitude is the right thing to do (Guffey et al., 2016, p. 147).

Recommendation messages are vital to getting hired, nominated for awards, and membership into organizations. They offer trusted-source testimonials about a candidate’s worthiness for whatever they’re applying to. Like the résumé and cover letter they corroborate, their job is to persuade an employer or selection committee to accept the person in question. To be convincing, recommendation and reference letters must be the following:

  • Specific: Recommendation and reference letters must focus entirely on the candidate with details such as examples of accomplishments, including dates or date ranges in months and years. A generic recommendation plagiarized from the internet is worse than useless because it makes the applicant look like they’re unworthy of a properly targeted letter.
  • True: Exaggerations and outright lies will hurt the candidate when found out (e.g., in response to job interview questions and background checks). They will spoil the chances of any future applicants who use recommendations from the same untrustworthy source if the employer sees that source cross their desk again.
  • Objective: An endorsement from a friend or family member will be seen as subjective to the point of lacking any credibility. Recommendations must therefore come from a business owner, employer, manager, or supervisor who can offer an unbiassed assessment.

Not all employers require recommendation letters of their job candidates, so only bother seeking a recommendation letter when it’s asked for. Opinions are divided on whether such documents are actually useful, since they are almost always “glowing” because they tend not to say anything negative about the applicant despite the expectation that they be objective. Some employers—especially in larger organizations—are instructed not to write recommendation letters (or are limited in what they can say if called for a reference) because they leave the company that writes them open to lawsuits from both the applicant and recipient company if things don’t work out.

On the other hand, recommendation letters provide potential employers with valuable validation of the job applicant’s claims, so it’s worth knowing how to ask for one and what to ask for if they’re required as part of a hiring process. Even if it may be some years before you’re in a position to write such letters yourself, knowing what information to provide the person who agrees to write you a recommendation is useful to you now. Indeed, since most managers are busy people, they might even ask you to draft it for them so they can plug it into a company letterhead template, sign it, and send it along. If so, then you could ghost-write it using the following section as your guide.

8.5.6.1: Recommendation Letter Organization

A recommendation letter is a direct-approach message framed by a modified-block formal letter using company letterhead (see §7.1 above). The most effective letters are targeted to an employer for a specific job application, though it’s not uncommon to request a “To Prospective Employers” recommendation letter without a recipient address to be distributed as part of any job application. In any case, the following represents the standard expectations employers have for recommendation letter content and organization:

  • Identify the applicant by name , the position sought, and the confidential nature of the letter—e.g., This confidential letter is written at the request of Elizabeth Barrie in support of her application for the position of Legal Assistant at Bailey & Garrick Law .
  • Clarify the writer’s relationship to the applicant and the length of its duration—e.g., For three years I have been Ms. Barrie’s supervisor at Stanton & Sons Legal Counsel and can therefore say with confidence that she would be a valuable addition to your firm .
  • Identify the job applicant’s previous duties—e.g., Ms. Barrie began working for us as a part-time legal research assistant during her studies in the Law Clerk program at Algonquin College. She began with mainly clerical duties such as preparing official legal documents and archiving our firm’s records.
  • Give examples of the applicant’s accomplishments and professional attributes. Wherever achievements are quantifiable, include numbers—e.g., After initiating and executing a records digitization project involving over 12,000 files, Ms. Barrie conducted more extensive legal research activities. Her superior organizational skills and close attention to detail made her a highly dependable assistant that our six associate lawyers and two partners relied on heavily to conduct research tasks. Her conscientiousness meant that she required very little direction and oversight when performing her duties.
  • Compare the applicant to others—e.g., Without a doubt, Ms. Barrie has been our most productive and trusted legal assistant in the past decade.
  • Summarize and emphatically state the endorsement —e.g., Any law firm would be lucky to have such a consummate professional as Ms. Barrie in their employ. I highly recommend her without reservation. If you would like to discuss this endorsement further, please contact me at the number above.

Because honesty is of paramount importance in a recommendation letter, including specific evidence of performance flaws wouldn’t be out of place, especially if used in a narrative of promotion and improvement. Including criticism of the candidate helps the credibility of the endorsement because it makes it more believable. After all, no one is perfect. Criticism resolved by a narrative of improvement, however, strengthens the endorsement even further. Consider, for instance, how good this looks:

Ms. Barrie tended to sacrifice quantity of completed research tasks to quality, completing perhaps 17 out of an expected 25 assignments per day. However, she increased her speed and efficiency such that, in her last year with us, she was completing more tasks with higher accuracy than any other assistant we’ve ever had.

Of course, this general frame for recommendations can be adapted and either extended or trimmed for channels other than letters. LinkedIn, for instance, allows users to endorse each other, but the small window in which the endorsement appears favours a smaller wordcount than the typical letter format. In that case, one paragraph of highlights and a few details is more appropriate than several paragraphs, especially if you can get several such endorsements from a variety of network contacts.

8.5.6.2: How to Request a Recommendation Letter

When a recommendation is necessary, be sure to ask a manager or supervisor who’s known you for two years or more if they can provide you with a strong reference. If they can’t—because they’re prohibited from doing so by company policy or they honestly don’t think you’re worthy of an endorsement—they’ll probably just recommend that you find and ask someone who would. Don’t be shy about asking for one, though. If they aren’t directed otherwise, management understands that writing such messages is part of their job. They got to where they are on the strength of references and recommendations from their previous employers, and the “pay-it-forward” system compels them to provide the same for the people under—people like you. That way, you too can move up in your career.

Knowing that every employment situation you’re in provides an opportunity for a reference when it’s time to move on, you should always do your best so that you can get a strong reference out of it. Even in jobs that you dislike or that bore you, strive to exemplify the advice on employer-impressing professional behaviour given throughout §10.2 below. Consider also that if a résumé lists references at the end but omits them for certain job experiences, a hiring manager will wonder why you weren’t able to get a reference for that job. Without a clear purpose in mind, your presentation will most likely be a jumble of unorganized factual information, putting your audience in the dark about your true intent.

What is the most important message you want to convey to the audience? Consider this to be the idea or theme of your presentation.

Your presentation’s goal(s) could include, but are not restricted to, trying to inform, inspire, or persuade.

Remember that what you say as well as how you say it must be consistent with the presentation’s goal.

3. Be natural

The mistake a lot of presenters make is thinking that great presentations are all about big vocabulary and sophisticated terms.

4. Invoke curiosity

5. Get your audience involved

Get your audience involved in your presentation. Don’t stand behind a lectern all through, tale a brisk, confident walk and project your words into the minds of your audience. Don’t let the lectern come in between you and the audience.

Try to get your audience out of their seats, laughing, raising hands or even standing by your side to make an analysis. Getting your audience to laugh is not as difficult as you might think. For example, you might try, “Ladies and gentlemen, I was told to announce something very critical to the success of today’s event. Even though I don’t think it’s my place to begin my presentation with an announcement that has nothing to do with my topic.”

“Anyway, I’ve been asked to tell you that in the event that you laugh too hard, don’t cause a stampede or fart too loud.” 😆

6.  Gesticulate

If you can request a cordless lavaliere mic, pls do, so that you can be as flexible with your hands as possible. A handheld mic might become tiring if your presentation takes a while.

Your audience will only remember 30% of what they hear & see but 70% of what they do will stick to them forever.

7. Project your words

Two things that can make your projection so vivid and impactful are a clear voice and clarity of communication. Try to emphasize the last sound of each word which will help you to sound very polished. This may sound odd to you when you start but eventually sound normal as you get used to it.

8. Take a pause

I cannot stress this enough. Take your time to pause! It kinda helps your audience to brainstorm, evaluate and re-evaluate. You shouldn’t say more than six to eight words at a time without a pause. As longer sentences reduce readability, longer spoken words also reduce absorption.

Use a full voice, then pause. Think of great speakers that utilized a full voice and paused. They did efficiently well. Such presentations drop some value within you.

9. Use acronyms

After you have written all the words on index cards, try to think of an acronym or Slang abbreviation that has every point you want to talk about. Use this strategy to keep your presentation in order.

For example, you may have written on a marriage/relationship index card – ask, support, kiss . Think of the first letter in each word and arrange them to ASK or any other word of your choice.

ASK will keep you on track this way:

A – Ask what he thinks

S – Support his opinion first

K – Kiss him when the discussion ends

You must have practised what you will say about each word beforehand. You will only use the acronym to keep track which the audience has no clue about. They will only think you are so perfect! If your oral presentation takes time and involves longer acronyms, you could keep your index card(s) on you just in case you get lost. 

10. Give life to figures

The best way to do this is to put a ‘Point’ of mind-gripping information (pictures, graphs, a phrase or table, flow charts, diagrams or a statistic) on some slides and speaking to them.

While the audience is fixated on that slide, all you need do is try to make them see the aspects of the slides that are hidden. Hence, you help to make their imagination make up for the rest of the story.

Such information is alike in features such as introduction, plot build-up, themes climax/anticlimax, a hero and his trials/triumph and so on.

And like a good storyteller or the mythical Pied Piper, the story or the music as the case is, becomes the object of the audience’s attention. The presenter is merely an intermediary.

11. Face the object

Sure, it is not bad to feel weird for a moment. Gain your confidence back by becoming the audience for a moment.

Face the presentation with your hands towards the slide, board or what have you? Making this brief move takes a whole lot of burden off as you see that you do not have to be the audience’s object of attention for a while.

You can use this moment to stealthily move from your weak points to your strong points as you gain your confidence back .

13. Intrigue them with stories

Professional speakers are becoming professional storytellers ,  primarily stories about themselves or someone they know so well . If you can tell a story about each word or topic on your cards or slides, your speech will have a better flow.

14. Take corrections politely

One mistake people do is to try to show that they know better than their judges.

Judges, examiners, instructors or even a member of your audience can come into your presentation abruptly. Prepare your mind ahead for this and don’t fidget.

A simple “Noted, sir” “sorry, I skipped that” or “thanks for the feedback” would go a long way in determining your final presentation score.

Be courteous and mindful of harsh emotions as you face arguments or opposition. A wrong approach in dealing with this can ruin everything you have started. So be cool with everyone.

As a matter of fact, who you are and who the audience perceives you to be is a measure of the weight of your words.

Hence, it is safer to use universally acceptable codes of conduct and principles of etiquette that will put you in the good graces of the audience.

15. Define your target audience

The audience’s reaction is the only way to judge a good presentation. What do they currently know about your subject matter?

What are their perceptions about your subject matter: will they accept whatever you say, or will you have to persuade them to change their views? Do they have a good command of the English language?

An effective oral presentation requires much more than simply presenting your ideas or giving a presentation. It is all about clear communication and connecting with the audience.

Preparation is required to create that type of presentation. You must learn about your target audience to tailor your message.

If you’re talking to experts in your field, for example, you don’t have to explain all the terms you’re using but if you expect your audience to disagree with your assertions, it’s a great idea to provide additional illustrations and go into greater detail when presenting the evidence.

You can outline your presentation with your audience in mind to explain your main points and maintain a logical flow. The more you understand your target audience, the better you will be able to communicate with them.

16. P redict your audience’s thoughts and tell them

If you’re lucky enough to predict what is on their minds, you’ll get almost 100% attention from your audience. This lowers the barriers between you and them.

They’ll say “hey, he’s so clever hahaha”. Wow, you’re absolutely right! Tell them you know what they are thinking and answer a question they haven’t yet asked you.

18. Explore every possible detail about your subject matter

To prepare an effective oral presentation, you must thoroughly understand your subject matter, which means knowing far more than you will present.

There is no such thing as too much research. The more familiar you are with your content, the more settled and confident you will feel when presenting it to a group.

Take notes as you read about your topic. Then organize your notes for your presentation. The most straightforward structure is an outline.

In most cases, a concise outline will serve as a good template for presenting your topic. The introduction, body, and summary make up a concise outline.

  • Introduction

In the introductory part, you must provide a concise context for your discussion. This is where you describe the problem or issue that the presentation will solve.

You want to immediately grab people’s attention, stimulate their interest, and get them pondering about your topic. That is what creating engaging content is all about.

The bulk of your presentation. It provides specific examples to back up your main point. This is where you add important facts, statistics, and details to your discourse.

Make certain that your material is presented articulately, with each point connected to another and clear progressions.

To summarize, highlight the previous points briefly. Use keywords from your introduction to restate your argument.

Take note of transitory phrases or words like “in summary.” Appreciate the audience for their time and, if the presentation format allows, gladly accept their questions.

A clear structure helps to support a clear and focused message, and it prevents you from jumping from concept to concept, which can make it difficult for your audience to grasp your presentation.

Having this in place, the presentation is no longer just a discussion. It truly becomes an active participation of the audience on a discovery journey. All you have to do is relate the subject’s antecedents, background, facts, statistics, and features in a way that stimulates their curiosity.

19. Use visual aids to supplement your content

It is easier to deliver an oral presentation when you employ visual aids. Visual aids, such as PowerPoint slides or printed handouts, provide structure to your presentation and assist the audience in comprehending the key points.

Since the majority of information is deemed and grasped visually, you may need to resolve this in your presentation by including a few visuals.

This would help the audience follow your discourse and possibly discuss a few of your points after the presentation is finished.

A good visual aid , as obvious as it may seem, must remain visual. Visuals can be bulleted lists or outlines, diagrams or figures, or pictures that depict crucial points that would be difficult to explain orally. Visual aids should be used to supplement, not compete with, your presentation. Use them only when they are necessary or beneficial.

20. Anticipate questions and prepare thoughtful answers in advance

A key component of preparing for an effective oral presentation is anticipating questions and creating thoughtful responses beforehand.

It demonstrates that you are knowledgeable about the subject and that you gave the subject some research. It also helps establish credibility and demonstrate your knowledge.

Additionally, it might assist you in remaining composed and assured throughout the presentation, especially if you are posed with unexpected questions. A few strategies for getting ready for questions are as follows:

  • Researching your topic thoroughly: This will enable you to answer any questions that may come up about your subject matter.
  • Identifying key points of confusion: Think about what aspects of your presentation may be most difficult for your audience to understand and prepare answers accordingly.
  • Practicing your responses: Rehearse answering potential questions so you are more comfortable and confident when answering them during the presentation.
  • Being open to feedback: Encourage your audience to ask questions and be open to feedback , even if it is critical. Take the opportunity to address any misconceptions or confusion that may have arisen during your presentation.
  • Be prepared for the unexpected: Sometimes, the questions you get may be totally out of the blue, be prepared to answer those as well.

In summary, your oral presentation is highly related to your motion, posture, gesture, gesticulation, eye contact, pausing effect, response to applause and so on.

The evolving nature of education has seen many lecturers and teachers adopt oral examinations as an integral part of grading students’ performance.

That is apart from lines of study such as Medicine (Viva) and Law (mock trials) that already have oral-related content as a part of their continuous assessment.

It also affords the teacher the opportunity to do more than just teach but to also be a kind of ‘coach’ that nurtures not only the content but also the delivery of knowledge . As a teacher myself, I do subscribe to this method of teaching; after all, was it not Einstein that said – If you cannot explain it simply, then you do not understand it all.

In oral presentations, especially ones that adopt projected information, the words you speak are more important than the words you display.

However, the pictures you use are just as important as the words you speak. In no place is the saying truer – a picture is worth more than a thousand words.

Therefore, being in a position where you have to present your own perspective, with your own words and in your own style goes a long way in shaping your intellectual capabilities . It also builds self-confidence in those that eventually master it.

7.7 Goodwill Messages

Goodwill messages are as essential to healthy professional relationships as they are in personal ones. Thank-you, congratulatory, and sympathy notes add an important, feel-good human touch in a world that continues to embrace technology that isolates people while being marketed as a means of connecting them. The goodwill that such messages promote makes both the sender and receiver feel better about each other and themselves compared with where they’d be if the messages weren’t sent at all. In putting smiles on faces, such notes are effective especially because many people don’t send them—either because they feel that they’re too difficult to write or because it doesn’t even occur to them to do so. Since praise for some can be harder to think of and write than criticism, a brief guide on how to do it right may be of help here.

The 5 S’s of Goodwill Messages

Whether you’re writing thank-you notes, congratulatory messages, or expressions of sympathy, follow the “5 S” principles of effective goodwill messages:

  • Specific: Crafting the message around specific references to the situation that it addresses will steer such messages away from the impression that they were boilerplate template statements that you plagiarized.
  • Sincere: A goodwill message will come off as genuine if it’s near to what you would say to the recipient in person. Avoid cliché Hallmark-card expressions and excessive formality such as It is with a heavy heart that I extend my heartfelt condolences to you in these sad times.
  • Selfless: Refer only to the person or people involved rather than yourself. The spotlight is on them, not you. Avoid telling stories about how you experienced something similar in an attempt to show how you relate.
  • Short: Full three-part messages and three-part paragraphs are unnecessary in thank-you notes, congratulatory messages, or expressions of sympathy. Don’t make the short length of the message deter you from setting aside time to draft it.
  • Spontaneous: Move quickly to write your message so that it follows closely on the news that prompted it. A message that’s passed its “best before” date will appear stale to the recipient and make you look like you can’t manage your time effectively (Guffey et al., 2016, p. 144).

Thank-you Notes

In the world of business, not all transactions involve money. People do favours for each other, and acknowledging those with thank-you notes is essential for keeping relations positive. Such messages can be short and simple, as well as quick and easy to write, which means not sending them when someone does something nice to you appears ungrateful, rude, and inconsiderate. Someone who did you a favour might not bother to do so again if it goes unthanked. Such notes are ideal for situations such as those listed in Activity 7.6 below.

Activity 7.6 | Types of Thank-you Messages

In most situations, email or text is an appropriate channel for sending thank-you messages. Sending a thank-you note within 24 hours of interviewing for a job is not just extra-thoughtful but close to being an expected formality. To stand out from other candidates, hand-writing a thank-you card in such situations might even be a good idea.

Following the 5 S’s of goodwill messages given above, a typical thank-you email message for a favour might look like the example in Activity 7.7.

Activity 7.7 | Sample Thank-you Message

Notice that this message is short, specific to the situation that prompted it, sincere, relatively selfless, and spontaneously sent the day of the incident that prompted it. It would certainly bring a smile both to the recipient and sender, strengthening their professional bond.

Congratulatory Messages

Celebrating the successes of your professional peers shows class and tact. It’s good karma that will come back around as long as you keep putting out positive energy. Again, the 5 S’s apply in congratulatory messages, especially selflessness. Such messages are all about the person you’re congratulating. You could say, for instance, I really admire how you handled yourself with such grace and poise under such trying circumstances in the field today.

Expressions of Sympathy

Few situations require such sincerity and care with words as expressions of sympathy. Misfortune comes upon us all, and tough times are just a little more tolerable with the support of our friends, family, and community—including those we work with. When the loved-one of a close associate dies, for instance, expressing sympathy for their loss is customary, often with a card signed by everyone in the workplace who knows the bereaved. You can’t put an email on the mantle like you can a collection of cards from people showing they care.

What do you say in such situations? A simple I’m so sorry for your loss , despite being a stock expression, is better than letting the standard Hallmark card’s words speak for you (Guffey et al., 2016, p. 147). In some situations, laughter—or at least a chuckle—may be the best medicine, in which case something along the lines of Emily McDowell’s witty Empathy Cards would be more appropriate. McDowell’s There Is No Good Card for This: What to Say and Do When Life Is Scary, Awful, and Unfair to People You Love (2016) collaboration with empathy expert Kelsey Crowe, PhD, provides excellent advice. Showing empathy by saying that you know how hard it can be is helpful as long as you don’t go into any detail about their loss or yours. Remember, these messages should be selfless, and being too specific can be a little dangerous here if it produces traumatic imagery. Offering your condolences in the most respectful, sensitive manner possible is just the right thing to do.

Replying to Goodwill Messages

It wouldn’t go over well if someone thanked you for your help and you just stared at them silently. The normal reaction is to simply say You’re welcome! Replying to goodwill messages is therefore as essential as writing them. Such replies must be even shorter than the messages that they respond to. If someone says a few nice things about you in an email about something else, always acknowledge the goodwill by saying briefly “Thank you very much for the kind words” somewhere in your response.

Whether you’re writing thank-you notes, congratulatory messages, or expressions of sympathy, follow the “5 S” principles of effective goodwill messages:

  • Specific:  Crafting the message around specific references to the situation that it addresses will steer such messages away from the impression that they were boilerplate template statements that you plagiarized.
  • Sincere:  A goodwill message will come off as genuine if it’s near to what you would say to the recipient in person. Avoid cliché Hallmark-card expressions and excessive formality such as  It is with a heavy heart that I extend my heartfelt condolences to you in these sad times.
  • Selfless:  Refer only to the person or people involved rather than yourself. The spotlight is on them, not you. Avoid telling stories about how you experienced something similar in an attempt to show how you relate.
  • Short:  Full three-part messages and three-part paragraphs are unnecessary in thank-you notes, congratulatory messages, or expressions of sympathy, but appropriate in recommendations that require detail. Don’t make the short length of the message deter you from setting aside time to draft it.
  • Spontaneous:  Move quickly to write your message so that it follows closely on the news that prompted it. A message that’s passed its “best before” date will appear stale to the recipient and make you look like you can’t manage your time effectively (Guffey et al., 2016, p. 144).

THANK-YOU NOTES

In the world of business, not all transactions involve money. People do favors for each other, and acknowledging those with thank-you notes is essential for keeping relations positive. Such messages can be short and simple, as well as quick and easy to write, which means not sending them when someone does something nice to you appears ungrateful, rude, and inconsiderate. Someone who did you a favor might not bother to do so again if it goes un-thanked. Such notes are ideal for situations such as those listed in Table 9.12.

One person another One person’s act of kindness, including kind words said or sent, gifts given, or hospitality extended, was appreciated.

In most situations, email or text is an appropriate channel for sending thank-you messages. As we shall see below, sending a thank-you note within 24 hours of interviewing for a job is not just extra-thoughtful but close to being an expected formality. To stand out from other candidates, hand-writing a thank-you card in such situations might even be a good idea.

Following the 5 S’s of goodwill messages given above, a typical thank-you email message for a favour might look like the following:

I just wanted to thank you for putting in a good word for me with your manager. She told me today that I came highly recommended, and I knew right away who that came from—only the most kind and thoughtful person I’ve ever had the pleasure of working with! I really appreciate all the help you’ve given me over the years, but especially for bringing me this opportunity. It means a lot to me and my family.

If there’s anything I can help you with in return—anything at all—you name it. I owe you one.

Many thanks,

Notice that this message is short, specific to the situation that prompted it, sincere, relatively selfless, and spontaneously sent the day of the incident that prompted it. It would certainly bring a smile both to the recipient and sender, strengthening their professional bond.

CONGRATULATORY MESSAGES

Celebrating the successes of your professional peers shows class and tact. It’s good karma that will come back around as long as you keep putting out positive energy. Again, the 5 S’s apply in congratulatory messages, especially selflessness. Such messages are all about the person you’re congratulating. You could say, for instance,  I really admire how you handled yourself with such grace and poise under such trying circumstances in the field today.

EXPRESSIONS OF SYMPATHY

Few situations require such sincerity and care with words as expressions of sympathy. Misfortune comes upon us all, and tough times are just a little more tolerable with the support of our friends, family, and community—including those we work with. When the loved-one of a close associate dies, for instance, expressing sympathy for their loss is customary, often with a card signed by everyone in the workplace who knows the bereaved. You can’t put an email on the mantle like you can a collection of cards from people showing they care.

What do you say in such situations? A simple  I’m so sorry for your loss , despite being a stock expression, is better than letting the standard Hallmark card’s words speak for you (Guffey et al., 2016, p. 147). In some situations, laughter—or at least a chuckle—may be the best medicine, in which case something along the lines of Emily McDowell’s witty  Empathy Cards  would be more appropriate. McDowell’s  There Is No Good Card for This: What to Say and Do When Life Is Scary, Awful, and Unfair to People You Love  (2016) collaboration with empathy expert Kelsey Crowe, PhD, provides excellent advice. Showing empathy by saying that you know how hard it can be is helpful as long as you don’t go into any detail about their loss or yours. Remember, these messages should be selfless, and being too specific can be a little dangerous here if it produces traumatic imagery. Offering your condolences in the most respectful, sensitive manner possible is just the right thing to do.

REPLYING TO GOODWILL MESSAGES

It wouldn’t go over well if someone thanked you for your help and you just stared at them silently. The normal reaction is to simply say  You’re welcome!  Replying to goodwill messages is therefore as essential as writing them. Such replies must be even shorter than the messages that they respond to. If someone says a few nice things about you in an email about something else, always acknowledge the goodwill by saying briefly “Thank you very much for the kind words” somewhere in your response. Without making a mockery of the situation by thanking a thank-you or shrugging off a compliment, returning the love with nicely worded and sincere gratitude is the right thing to do (Guffey et al., 2016, p. 147).

RECOMMENDATION MESSAGES AND REFERENCE LETTERS

Recommendation messages are vital to getting hired, nominated for awards, and membership into organizations. They offer trusted-source testimonials about a candidate’s worthiness for whatever they’re applying to. Like the résumé and cover letter they corroborate, their job is to persuade an employer or selection committee to accept the person in question. To be convincing, recommendation and reference letters must be the following:

  • Specific:  Recommendation and reference letters must focus entirely on the candidate with details such as examples of accomplishments, including dates or date ranges in months and years. A generic recommendation plagiarized from the internet is worse than useless because it makes the applicant look like they’re unworthy of a properly targeted letter.
  • True:  Exaggerations and outright lies will hurt the candidate when found out (e.g., in response to job interview questions and background checks). They will spoil the chances of any future applicants who use recommendations from the same untrustworthy source if the employer sees that source cross their desk again.
  • Objective:  An endorsement from a friend or family member will be seen as subjective to the point of lacking any credibility. Recommendations must therefore come from a business owner, employer, manager, or supervisor who can offer an unbiassed assessment.

Not all employers require recommendation letters of their job candidates, so only bother seeking a recommendation letter when it’s asked for. Opinions are divided on whether such documents are actually useful, since they are almost always “glowing” because they tend not to say anything negative about the applicant despite the expectation that they be objective. Some employers—especially in larger organizations—are instructed not to write recommendation letters (or are limited in what they can say if called for a reference) because they leave the company that writes them open to lawsuits from both the applicant and recipient company if things don’t work out.

On the other hand, recommendation letters provide potential employers with valuable validation of the job applicant’s claims, so it’s worth knowing how to ask for one and what to ask for if they’re required as part of a hiring process. Even if it may be some years before you’re in a position to write such letters yourself, knowing what information to provide the person who agrees to write you a recommendation is useful to you now. Indeed, since most managers are busy people, they might even ask you to draft it for them so they can plug it into a company letterhead template, sign it, and send it along. If so, then you could ghost-write it using the following section as your guide.

RECOMMENDATION LETTER ORGANIZATION

A recommendation letter is a direct-approach message framed by a modified-block formal letter using company letterhead. The most effective letters are targeted to an employer for a specific job application, though it’s not uncommon to request a “To Prospective Employers” recommendation letter without a recipient address to be distributed as part of any job application. In any case, the following represents the standard expectations employers have for recommendation letter content and organization:

  • Identify the applicant by  name , the  position  sought, and the  confidential  nature of the letter—e.g.,  This confidential letter is written at the request of Elizabeth Barrie in support of her application for the position of Legal Assistant at Bailey & Garrick Law .
  • Clarify the writer’s  relationship  to the applicant and the  length  of its duration—e.g.,  For three years I have been Ms. Barrie’s supervisor at Stanton & Sons Legal Counsel and can therefore say with confidence that she would be a valuable addition to your firm .
  • Identify the job applicant’s previous duties—e.g.,  Ms. Barrie began working for us as a part-time legal research assistant during her studies in the Law Clerk program at Algonquin College. She began with mainly clerical duties such as preparing official legal documents and archiving our firm’s records.
  • Give examples of the applicant’s accomplishments and professional attributes. Wherever achievements are quantifiable, include numbers—e.g.,  After initiating and executing a records digitization project involving over 12,000 files, Ms. Barrie conducted more extensive legal research activities. Her superior organizational skills and close attention to detail made her a highly dependable assistant that our six associate lawyers and two partners relied on heavily to conduct research tasks. Her conscientiousness meant that she required very little direction and oversight when performing her duties.
  • Compare the applicant to others—e.g.,  Without a doubt, Ms. Barrie has been our most productive and trusted legal assistant in the past decade.
  • Summarize and emphatically state the  endorsement —e.g.,  Any law firm would be lucky to have such a consummate professional as Ms. Barrie in their employ. I highly recommend her without reservation. If you would like to discuss this endorsement further, please contact me at the number above.

Because honesty is of paramount importance in a recommendation letter, including specific evidence of performance flaws wouldn’t be out of place, especially if used in a narrative of promotion and improvement. Including criticism of the candidate helps the credibility of the endorsement because it makes it more believable. After all, no one is perfect. Criticism resolved by a narrative of improvement, however, strengthens the endorsement even further. Consider, for instance, how good this looks:

Ms. Barrie tended to sacrifice quantity of completed research tasks to quality, completing perhaps 17 out of an expected 25 assignments per day. However, she increased her speed and efficiency such that, in her last year with us, she was completing more tasks with higher accuracy than any other assistant we’ve ever had.

Of course, this general frame for recommendations can be adapted and either extended or trimmed for channels other than letters. LinkedIn, for instance, allows users to endorse each other, but the small window in which the endorsement appears favors a smaller wordcount than the typical letter format. In that case, one paragraph of highlights and a few details is more appropriate than several paragraphs, especially if you can get several such endorsements from a variety of network contacts.

HOW TO REQUEST A RECOMMENDATION LETTER

When a recommendation is necessary, be sure to ask a manager or supervisor who’s known you for two years or more if they can provide you with a  strong  reference. If they can’t—because they’re prohibited from doing so by company policy or they honestly don’t think you’re worthy of an endorsement—they’ll probably just recommend that you find and ask someone who would. Don’t be shy about asking for one, though. If they aren’t directed otherwise, management understands that writing such messages is part of their job. They got to where they are on the strength of references and recommendations from their previous employers, and the “pay-it-forward” system compels them to provide the same for the people under—people like you. That way, you too can move up in your career.

Knowing that every employment situation you’re in provides an opportunity for a reference when it’s time to move on, you should always do your best so that you can get a strong reference out of it. Even in jobs that you dislike or that bore you, strive to exemplify the advice on employer-impressing professional behavior’s given. Consider also that if a résumé lists references at the end but omits them for certain job experiences, a hiring manager will wonder why you weren’t able to get a reference for that job. It certainly could have been due to company policy prohibiting managers from providing references for legal reasons or conflict with management that was entirely their fault; without the full picture, however, the omission opens the door to doubts about the candidate.

Your workplace communications should create favorable impressions and promote goodwill as well as accomplish specific objectives. Choosing appropriate words and developing and organizing coherent messages are vital to effective communications. Equally important, however, is a positive tone.

To establish and maintain goodwill, you must concentrate on creating a positive tone. A positive tone is established by projecting a “you attitude,” showing sincere interest in the reader, and focusing on positive ideas. Avoid using any destroyers of the “you attitude” and positive tone. You build and maintain goodwill by promoting a service attitude and by reselling your products, services, and organization.

Building goodwill—a priceless commodity that individuals as well as businesses need to be successful—is the primary purpose of all the messages discussed in this chapter. Whether a message is in the form of a note, memo, or letter, a written goodwill message will make a more positive impression on a reader than a verbal goodwill message because it is tangible evidence of the sender’s thoughtfulness.

PRDV008: Preparing and Delivering Presentations (2020.A.01)

Consider the occasion.

The occasion of your presentation should influence the material you choose, how you approach your subject matter, and the language you use. This article looks at the aspects you should consider as you plan your presentation.

As you begin to think about choosing your topic, there are a few key factors to consider. These include the purpose of the speech, its projected time length, the appropriateness of the topic for your audience, and your knowledge or the amount of information you can access on the topic. Let's examine each of these factors.

Determine the General and Specific Purpose

It is important for you to have a clear understanding of your purpose, as all the other factors depend on it. Here's a brief review of the five general purposes for speaking in public:

  • Speech to inform . Increase the audience's knowledge, teach about a topic or issue, and share your expertise.
  • Speech to demonstrate . Show the audience how to use, operate, or do something.
  • Speech to persuade . Influence the audience by presenting arguments intended to change attitudes, beliefs, or values.
  • Speech to entertain . Amuse the audience by engaging them in a relatively light-hearted speech that may have a serious point or goal.
  • Ceremonial speech . Perform a ritual function, such as give a toast at a wedding reception or a eulogy at a funeral.

You should be able to choose one of these options. If you find that your speech may fall into more than one category, you may need to get a better understanding of the assignment or goal. Starting out with a clear understanding of why you are doing what you are supposed do will go a long way in helping you organize, focus, prepare, and deliver your oral presentation.

Once you have determined your general purpose – or had it determined for you, if this is an assigned speech – you will still need to write your specific purpose . What specifically are you going to inform, persuade, demonstrate, or entertain your audience with? What type of ceremony is your speech intended for? A clear goal makes it much easier to develop an effective speech. Try to write in just one sentence exactly what you are going to do.

To persuade the audience that global warming is a threat to the environment

Notice that each example includes two pieces of information. The first is the general purpose (to inform or to persuade) and the second is the specific subject you intend to talk about.

Can I Cover the Topic in Time?

Your next key consideration is the amount of time in which you intend to accomplish your purpose. Consider the depth, scope, and amount of information available on the topic you have in mind. In business situations, speeches or presentations vary greatly in length, but most often the speaker needs to get the message across as quickly as possible – for example, in less than five minutes.

If you are giving a speech in class, it will typically be five to seven minutes; at most, it may be up to ten minutes. In those ten minutes, it would be impossible to tell your audience about the complete history of the Ford Mustang automobile. You could, however, tell them about four key body style changes since 1965. If your topic is still too broad, narrow it down into something you can reasonably cover in the time allotted. For example, focus on just the classic Mustangs, the individual differences by year, and how to tell them apart.

You may have been assigned a persuasive speech topic, linking global warming to business, but have you been given enough time to present a thorough speech on why human growth and consumption are clearly linked to global warming? Are you supposed to discuss "green" strategies of energy conservation in business, for example? The topic of global warming is quite complex, and by definition involves a great deal of information, debate over interpretations of data, and analysis of the diverse global impacts.

Rather than try to explore the chemistry, the corporate debates, or the current government activities that may be involved, you can consider how visual aids may make the speech vivid for the audience. You might decide to focus on three clear examples of global warming to capture your audience's attention and move them closer to your stated position: "green" and energy-saving strategies are good for business.

Perhaps you will start with a brownie on a plate with a big scoop of ice cream on top, asking your audience what will happen when the ice cream melts. They will probably predict that the melted ice cream will spread out over the plate in a puddle, becoming a deeper puddle as the ice cream continues to melt. Next, you might display a chart showing that globally, temperatures have risen, followed by a map of the islands that have lost beaches due to rising tides.

To explain how this had happened, you may show two pictures of Antarctica – one taken in 1993 and the other in 2003, after it lost over 15 percent of its total mass as the Ross Ice Shelf melted, cracked, and broke off from the continent. You may then make a transition to what happens when water evaporates as it goes into the atmosphere. Show a picture of the hole in the ozone over Chile and much of South America, and hold up a bottle of sunscreen, saying that even SPF 45 isn't strong enough to protect you.

Finally, you may show a pie graph that illustrates that customers are aware of the environmental changes and the extent of their purchase decision is based on the perception of a product's "green" features or support of related initiatives. In just a few minutes, you've given seven visual examples to support your central position and meet your stated purpose.

Will My Topic Be Interesting to My Audience?

Remember that communication is a two-way process; even if you are the only one speaking, the audience is an essential part of your speech. Put yourself in their place and imagine how to make your topic relevant to them. What information will they actually use once your speech is over?

For example, if you are speaking to a group of auto mechanics who specialize in repairing and maintaining classic cars, it might make sense to inform them about the body features of the Mustang, but they may already be quite knowledgeable about these features. If you represent a new rust treatment product used in the restoration process, they may be more interested in how it works than any specific model of car.

However, if your audience belongs to a general group of students or would-be car buyers, it would be more useful to inform them about how to buy a classic car and what to look for. General issues of rust may be more relevant, and can still be clearly linked to your new rust treatment product.

For a persuasive speech , in addition to considering the audience's interests, you will also want to gauge their attitudes and beliefs. If you are speaking about global warming to a group of scientists, you can probably assume that they are familiar with the basic facts of melting glaciers, rising sea levels, and ozone depletion. In that case, you might want to focus on something more specific, such as strategies for reducing greenhouse gases that can be implemented by business and industry. Your goal might be to persuade this audience to advocate for such strategies, and support or even endorse the gradual implementation of the cost- and energy-saving methods that may not solve all the problems at once, but serve as an important first step.

In contrast, for a general audience, you may anticipate skepticism that global warming is even occurring, or that it poses any threat to the environment. Some audience members may question the cost savings, while others may assert that the steps are not nearly enough to make a difference. The clear, visual examples described above will help get your point across, but if you are also prepared to answer questions – for example, "If the earth is heating up, why has it been so cold here lately?" or "Isn't this just part of a warming and cooling cycle that's been happening for millions of years?" – you may make your speech ultimately more effective.

By asking your listeners to consider what other signs they can observe that global warming is occurring, you might highlight a way for them to apply your speech beyond the classroom setting. By taking small steps as you introduce your assertions, rather than advocating a complete overhaul of the system or even revolution, you will more effectively engage a larger percentage of your audience.

How Much Information about My Topic Is Readily Available?

For a short speech, especially if it is a speech to entertain, you may be able to rely completely on your knowledge and ideas. But in most cases, you will need to gather information so that you can make your speech interesting by telling the audience things they don't already know. Try to choose a topic that can be researched in your college or university libraries. You may need to do some initial checking of sources to be sure the material is available.

Putting It All Together

When you have determined your general purpose, the amount of material appropriate to the time allowed for your speech, and the appropriateness for your audience, then you should be well on your way to identifying the topic for your speech. As a double-check, you should be able to state your specific purpose in one sentence. For example, the specific purpose of our "Classic Cars" speech could be stated as, "By the end of my speech, I want my audience to be more informed about the three ways in which they can determine whether a classic car is a rust bucket or diamond in the rough, and be aware of one product solution".

Share the love! Goodwill messages are as essential to healthy professional relationships as they are in personal ones. Thank-you, congratulatory, and sympathy notes add an important, feel-good human touch in a world that continues to embrace technology that isolates people while being marketed as a means of connecting them. The goodwill that such messages promote makes both sender and receiver feel better about each other and themselves compared with where they’d be if the messages weren’t sent at all. In putting smiles on faces, such notes are effective especially because many people don’t send them—either because they feel that they’re too difficult to write or because it doesn’t even occur to them to do so. Since praise for some can be harder to think of and write than criticism, a brief guide on how to do it right may be of help here.

You could say, for instance, I really admire how you handled yourself with such grace and poise under such trying circumstances in the field today.

Expressions of Sympathy

Few situations require such sincerity and care with words as expressions of sympathy. Misfortune comes upon us all, and tough times are just a little more tolerable with the support of our friends, family, and community—including those we work with. When the loved-one of a close associate dies, for instance, expressing sympathy for their loss is customary, often with a card signed by everyone in the workplace who knows the bereaved. You can’t put an email on the mantle like you can a collection of cards from people showing they care.

What do you say in such situations? A simple I’m so sorry for your loss , despite being a stock expression, is better than letting the standard Hallmark card’s words speak for you (Guffey et al., 2016, p. 147). In some situations, laughter—or at least a chuckle—may be the best medicine, in which case something along the lines of Emily McDowell’s witty Empathy Cards would be more appropriate. McDowell’s There Is No Good Card for This: What to Say and Do When Life Is Scary, Awful, and Unfair to People You Love (2016) in collaboration with empathy expert Kelsey Crowe, PhD, provides excellent advice. Showing empathy by saying that you know how hard it can be is helpful as long as you don’t go into any detail about their loss or yours. Remember, these messages should be selfless, and being too specific can be a little dangerous here if it produces traumatic imagery. Offering your condolences in the most respectful, sensitive manner possible is just the right thing to do.

Replying to Goodwill Messages

It wouldn’t go over well if someone thanked you for your help and you just stared at them silently. The normal reaction is to simply say You’re welcome! Replying to goodwill messages is therefore as essential as writing them. Such replies must be even shorter than the messages that they respond to. If someone says a few nice things about you in an email about something else, always acknowledge the goodwill by saying briefly “Thank you very much for the kind words” somewhere in your response. Without making a mockery of the situation by thanking a thank-you or shrugging off a compliment, returning the love with nicely worded and sincere gratitude is the right thing to do (Guffey et al., 2016, p. 147).

Recommendation messages are vital to getting hired, nominated for awards, and membership into organizations. They offer trusted-source testimonials about a candidate’s worthiness for whatever they’re applying to. Like the résumé and cover letter they corroborate, their job is to persuade an employer or selection committee to accept the person in question. To be convincing, recommendation and reference letters must be the following:

  • Specific: Recommendation and reference letters must focus entirely on the candidate with details such as examples of accomplishments, including dates or date ranges in months and years. A generic recommendation plagiarized from the internet is worse than useless because it makes the applicant look like they’re unworthy of a properly targeted letter.
  • True: Exaggerations and outright lies will hurt the candidate when found out (e.g., in response to job interview questions and background checks). They will spoil the chances of any future applicants who use recommendations from the same untrustworthy source if the employer sees that source cross their desk again.
  • Objective: An endorsement from a friend or family member will be seen as subjective to the point of lacking any credibility. Recommendations must therefore come from a business owner, employer, manager, or supervisor who can offer an unbiassed assessment.

Not all employers require recommendation letters of their job candidates, so only bother seeking a recommendation letter when it’s asked for. Opinions are divided on whether such documents are actually useful, since they are almost always “glowing” because they tend not to say anything negative about the applicant despite the expectation that they be objective. Some employers—especially in larger organizations—are instructed not to write recommendation letters (or are limited in what they can say if called for a reference) because they leave the company that writes them open to lawsuits from both the applicant and recipient company if things don’t work out.

On the other hand, recommendation letters provide potential employers with valuable validation of the job applicant’s claims, so it’s worth knowing how to ask for one and what to ask for if they’re required as part of a hiring process. Even if it may be some years before you’re in a position to write such letters yourself, knowing what information to provide the person who agrees to write you a recommendation is useful to you now. Indeed, since most managers are busy people, they might even ask you to draft it for them so they can plug it into a company letterhead template, sign it, and send it along. If so, then you could ghost-write it using the following section as your guide.

Let’s view how to write letters of recommendations before looking at the individual sections of the letter.

Recommendation Letter Organization

A recommendation letter is a direct-approach message framed by a modified-block formal letter using company letterhead (see unit 20 ). The most effective letters are targeted to an employer for a specific job application, though it’s not uncommon to request a “To Prospective Employers” recommendation letter without a recipient address to be distributed as part of any job application. In any case, the following represents the standard expectations employers have for recommendation letter content and organization:

  • Identify the applicant by name , the position sought, and the confidential nature of the letter—e.g., This confidential letter is written at the request of Elizabeth Barrie in support of her application for the position of Legal Assistant at Bailey & Garrick Law.
  • Clarify the writer’s relationship to the applicant and the length of its duration—e.g., For three years I have been Ms. Barrie’s supervisor at Stanton & Sons Legal Counsel and can therefore say with confidence that she would be a valuable addition to your firm.
  • Identify the job applicant’s previous duties—e.g., Ms. Barrie began working for us as a part-time legal research assistant during her studies in the Law Clerk program at Algonquin College. She began with mainly clerical duties such as preparing official legal documents and archiving our firm’s records.
  • Give examples of the applicant’s accomplishments and professional attributes. Wherever achievements are quantifiable, include numbers—e.g., After initiating and executing a records digitization project involving over 12,000 files, Ms. Barrie conducted more extensive legal research activities. Her superior organizational skills and close attention to detail made her a highly dependable assistant that our six associate lawyers and two partners relied on heavily to conduct research tasks. Her conscientiousness meant that she required very little direction and oversight when performing her duties.
  • Compare the applicant to others—e.g., Without a doubt, Ms. Barrie has been our most productive and trusted legal assistant in the past decade.
  • Summarize and emphatically state the endorsement —e.g., Any law firm would be lucky to have such a consummate professional as Ms. Barrie in their employ. I highly recommend her without reservation. If you would like to discuss this endorsement further, please contact me at the number above.

Because honesty is of paramount importance in a recommendation letter, including specific evidence of performance flaws wouldn’t be out of place, especially if used in a narrative of promotion and improvement. Including criticism of the candidate helps the credibility of the endorsement because it makes it more believable. After all, no one is perfect. Criticism resolved by a narrative of improvement, however, strengthens the endorsement even further. Consider, for instance, how good this looks:

Ms. Barrie tended to sacrifice quantity of completed research tasks to quality, completing perhaps 17 out of an expected 25 assignments per day. However, she increased her speed and efficiency such that, in her last year with us, she was completing more tasks with higher accuracy than any other assistant we’ve ever had.

Of course, this general frame for recommendations can be adapted and either extended or trimmed for channels other than letters. LinkedIn, for instance, allows users to endorse each other, but the small window in which the endorsement appears favours a smaller wordcount than the typical letter format. In that case, one paragraph of highlights and a few details is more appropriate than several paragraphs, especially if you can get several such endorsements from a variety of network contacts.

How to Request a Recommendation Letter

When a recommendation is necessary, be sure to ask a manager or supervisor who’s known you for two years or more if they can provide you with a strong reference. If they can’t—because they’re prohibited from doing so by company policy or they honestly don’t think you’re worthy of an endorsement—they’ll probably just recommend that you find and ask someone who would. Don’t be shy about asking for one, though. If they aren’t directed otherwise, management understands that writing such messages is part of their job. They got to where they are on the strength of references and recommendations from their previous employers, and the “pay-it-forward” system compels them to provide the same for the people under—people like you. That way, you too can move up in your career.

Knowing that every employment situation you’re in provides an opportunity for a reference when it’s time to move on, you should always do your best so that you can get a strong reference out of it. Consider also that if a résumé lists references at the end but omits them for certain job experiences, a hiring manager will wonder why you weren’t able to get a reference for that job. It certainly could have been due to company policy prohibiting managers from providing references for legal reasons or conflict with management that was entirely their fault (not all managers are decent human beings as we shall discuss in unit 29 ); without the full picture, however, the omission opens the door to doubts about the candidate.

8.5: Goodwill Messages and Recommendations

Sometimes, professional communication is about solving problems before they arise. Goodwill messages are as essential to healthy professional relationships as they are in personal ones. Thank you notes, congratulatory messages, and expressions of sympathy add an important touch of humanity in a world that continues to embrace technology that risks isolating people. The goodwill that such messages promote makes both sender and receiver feel better about each other and themselves compared with where they’d be if the messages weren’t sent at all. Such notes are effective especially because many people don’t send them—either because they feel that they’re too difficult to write or because it doesn’t even occur to them to do so. Even when problems are not prevented, goodwill messages help strengthen relationships so that it is significantly easier to build solutions when they are needed.

  • Selfless: Refer only to the person or people involved rather than yourself. The spotlight is on them, not you. Avoid telling stories about how you experienced something similar in an attempt to show how you relate.
